  • Assist in the preparation of regularly scheduled reports
  • Develop and Maintain a Filing System for all Legal Documents
  • Make Travel Arrangements for Employees and Organize Travel arrangements for Senior Managers
  • Book Conference Calls, Rooms, Taxis, Couriers, Hotels and etc.
  • Maintain Computer and Manual Filing Systems
  • Submit and Reconcile Expense Reports for Various Countries

The Ideal Candidate

  • Carry out administrative duties such as filing, tying, copying, binding, scanning & etc.
  • Handle sensitive information in a confidential manner
  • Reply to email, telephone and face to face inquiries
  • Develop administrative staff by providing information, educational opportunities and experimental growth opportunities
  • Maintain supplies inventory by checking stock to determine inventory level at office, anticipating needed suppliers; placing orders for supplies; verifying receipt of supplies
  • Must be able to work independently and in teams, handle multiple tasks and able to work in a high standard in an environment where tight timelines/deadlines are normal course
  • Monitoring company accounts and conducting quarterly reviews
  • Preparing financial statements (e.g. balance sheet, P&L, statement of cash flows)
  • Tax preparation
  • Conducting audits to ensure adherence to statutory and regulatory requirements
  • Maintain general ledgers
  • Post journal entries, enter orders, file invoices and expenses
  • Perform accounts receivable functions
  • Reconcile and balance accounts
  • General data entry using software QuickBooks
  • Handle quarterly GST submission and receivables
  • Perform Accounts Payable function (i.e process invoices and payments) manage cash flow
