SENIOR EXECUTIVE/EXECUTIVE – HR & ADMINISTRATION

LOCATION: MAGICK WOODS (PVT) LTD – MIRIGAMA – EXPORT PROCESSING ZONE

EMPLOYMENT TYPE: FULL-TIME | PERMANENT – ON-SITE

POSITION SUMMARY:

The Executive / Senior Executive – HR & Administration will be responsible for supporting the day-to-day HR and administrative operations of the organization, ensuring efficient workforce coordination, employee services, facilities management, statutory compliance, and general administration. The role will also oversee factory-related administrative activities, coordinate with internal and external stakeholders, and support the implementation of HR policies, employee engagement initiatives, and operational requirements. The ideal candidate should be a proactive, well-organized professional with strong interpersonal and coordination skills, capable of managing multiple responsibilities in a fast-paced manufacturing environment while ensuring operational efficiency and compliance.

KEY RESPONSIBILITIES:

  • Manage day-to-day HR and administrative operations, ensuring smooth and efficient organizational operations.
  • Provide HR support for factory operations by coordinating workforce requirements, employee allocation, attendance, shift management, and operational manpower needs.
  • Handle the complete employee lifecycle, including recruitment, onboarding, induction, probation, confirmation, promotions, resignations, and exit formalities.
  • Maintain accurate employee records, HR databases, statutory documentation, and prepare HR-related documents including contracts, reports, disciplinary letters, and policies.
  • Manage attendance, leave administration, shift schedules, overtime records, and employee movements.
  • Coordinate payroll inputs and ensure compliance with statutory requirements, including EPF, ETF, and other labour-related obligations.
  • Support performance management processes, including probation evaluations, KPI administration, performance appraisals, and employee development initiatives.
  • Ensure compliance with Sri Lankan Labour Laws, company policies, and statutory requirements.
  • Handle employee grievances, disciplinary matters, conflict resolution, and maintain positive employee relations.
  • Oversee administrative functions, including facilities management, security coordination, transport, accommodation facilities (if applicable), vendor coordination, and asset management.
  • Support operational audits, compliance inspections, and maintain required HR and administrative documentation.
  • Perform any other HR and administrative duties assigned by the Management.

REQUIREMENTS:

  • Bachelor's Degree in Human Resource Management, Business Administration, Public Administration, Management, or a related discipline.
  • Professional qualification in CIPM, PQHR, or an equivalent HR qualification will be an added advantage.
  • 3-4 years of experience in Human Resources and Administration.
  • Previous experience in manufacturing operations, particularly in a factory environment, will be a distinct advantage.
  • Sound knowledge of Sri Lankan Labour Laws, payroll administration, EPF, ETF, attendance management, disciplinary procedures, and statutory compliance.
  • Experience in HRIS and proficiency, particularly SAP, will be a distinct advantage.
  • Strong leadership, communication, interpersonal, and problem-solving skills.
  • Excellent organizational and administrative skills with strong attention to detail.
  • Ability to handle confidential information with integrity and professionalism.
  • Ability to work independently, manage multiple priorities, and perform effectively in a dynamic work environment.
