Job Description:
The Junior Administrative Assistant plays a crucial role in supporting daily office operations and assisting senior staff with administrative tasks. This entry-level position involves managing schedules, handling correspondence, organizing documents, and maintaining office efficiency. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced work environment.
Responsibilities:
- Manage emails, phone calls, and general correspondence.
- Schedule meetings, appointments, and maintain executives’ calendars.
- Prepare, edit, and format documents, reports, and presentations.
- Handle data entry, record-keeping, and maintain filing systems.
- Assist in travel arrangements, bookings, and reimbursement processing.
- Order office supplies and coordinate with vendors.
- Support executives and teams with administrative and clerical tasks.
- Maintain CRM databases and update company records.
- Assist in organizing events, meetings, and internal communications.
- Monitor office operations and ensure workflow efficiency.
Qualifications:
- School Leavers (ALs Streams - Physical Science / Commerce preferred) / High school diploma (Associate or Bachelor's degree preferred).
- Proficiency in Microsoft Office (Excel, Word, PowerPoint), Google Workspace, and basic office software.
- Strong verbal and written communication skills.
- Excellent time management and multitasking skills.
- Ability to handle administrative challenges effectively.
- Accuracy in document and information scheduling.
- Ability to manage sensitive information professionally.
- 0-2 years in an administrative or clerical role (internships are a plus).
- Self-motivated, proactive, and able to work in a dynamic environment.
