Position Overview
The People Operations Associate is responsible for supporting the efficient management of the People Operations Department. This includes providing high-quality administrative and logistical assistance, ensuring that both internal and external service users receive essential information regarding People Operations processes and procedures. The role involves helping with the hiring process, responding to routine inquiries about recruitment procedures, organizing training and development, managing personnel records and files, and maintaining accurate and timely records. The position will report to the People Operations Manager (POM).
Primary Duties & Responsibilities:
Systematic and Quality People Ops(HR) Administrative and Logistical support
- Ensure effective and systematic filing of all HR documents.
- Responsible for personnel file management and timely updates.
- Update & upload staff details in HRMS.
- Support the POM to renew annual Life, personal accident cover and medical insurance for staff.
- Process staff OPD, insurance claims and reimbursements and maintain up to date records.
- Ensure all staffs Job Descriptions, Staffing Models are available & up to date.
- Conduct new staffs’ company orientation, onboarding process.
- Ensure to share the orientation kit/package with new staffs.
- Assist POM to review onboarding process from time to time and collect feedbacks from new staff.
- Responsible to handle timely Employment Contract renewal process.
- Responsible to initiate the recruitment process for open positions.
- Liase with the supervisors to organize and participate in interviews with travel to field, (Kurunegala, Kandy, Polonnaruwa,)
- Perform other day to day functions as and when required.
Ensure distribution of People Operations Policies, Procedures and Systems.
- Ensure new staff receive entire copies of policies and procedures.
- Update the Employee Handbook, in guidance of POM.
- Avail all HR templates and orient its use, in guidance of POM.
Support in Planning and fulfilling the staff’s needs
- Timely liaise with Publishers and process vacancy advertisements.
- Assist POM in recruitment procedures.
- Ensure background checks of new staff and maintain records.
Keep track of performance management and development plan & assist in T&D
- Ensure all staff take part in the performance management system utilizing the HRMS.
- Collect conducted internal training details & share the analysis with POM.
- Assist and ensure the participation of staff in company activities, workshops, training, staff meetings as guided by POM.
Assist in Social Recognition events.
- Assist in Semi Annual / Annual functions such as staff retreat, gatherings etc.
- Support for effective arrangement in recognition programs.
Compensation
- Provide accurate payroll information to the outsourced company under the direction of POM.
- Maintaining all monthly payroll documentation systematically.
- Distribution of pay slips and other payroll-related documents promptly.
Required Qualifications:
- Possess a University degree in Human Resource Management or equivalent professional qualifications in HR from a recognized university/institute.
- Minimum of one year of work experience in the HR field with exposure to modern HR practices.
- Excellent interpersonal relations and communication skills in English and local languages with the ability to interact with the management and staff equally.
- Self-motivated and committed to working with minimum supervision.
- Be computer literate in HRMS, preferably in Workday, MS. Word, Excel & PowerPoint.
- Ability to travel to Program locations in the field when required.
- Possess effective facilitating skills with experience in conducting training.
Compensation for the position:
The salary range for this position will be determined based on the experience of the candidate hired. Benefits, including bonuses, OPD, Life, health, accident and provident fund, are also provided.
