Assistant Retail Manager - Tops

Dimension of the role

  • Manage and overlook entire operation of Tops outlets
  • Maintaining relationships with both internal and external staff and suppliers for the betterment of Tops operations
  • Ensure excise register is maintained in a timely manner by all Tops outlets
  • Maintain a close relationship with the excise department at all times
  • Maintaining high quality goods at all Tops outlets
  • Must always adhere to all license regulations
  • Liase with all store Retail managers for Tops operations
  • Achieving daily, weekly, monthly & yearly sales budget and net profit budget and reporting all required data to Head of Operations
  • Ensuring the excise department register is maintained with no delays by all Tops executives.
  • Liase with all outlet Retail managers for stock taking, staff rosters, staff conflicts etc.
  • Liase with outlet Retail managers and communicate concerns regarding building plans, COC copies and excise matters and ensure the Tops Executives and outlet RMs share equal understanding.
  • Responsible for the overall smooth operation of all Tops outlets and maintaining necessary quality standards whilst keeping the overheads to a minimum
  • Overall responsibility of security, cleaning, hygiene, health & safety and waste management, damage and shrinkage controlling and ensuring minimum physical theft
  • Adhering to the operational check lists, SOP’s and other procedures and standards whilst ensuring all Tops executives follow their respective departmental checklists
  • Ensuring the stock takes are conducted as per the agreed timelines
  • Analyzing stock requirements based on supply and demand and maintaining budgeted stock holding days while optimizing stock turns to improve cash flow
  • Sale reports, business reports and stock walk updates and other required details to be shared with finance team and Head of Operations as and when necessary
  • Generating the monthly report on sales and walk-ins and sharing with Head of Operations
  • Ensuring an accurate stock purchase and selling invoice is sent to all suppliers with no delays and ensuring the timely arrival of supplier VAT documentation
  • Effectively managing promotion activation with supplier support
  • Conducting spot checks on outlet stock levels, quality and customer service
  • Completing mid-year and annual performance reviews as per the organization policy
  • Managing the teams well and keeping the staff turnover rate to a minimum in all outlets
  • Following proper merchandising practices and conducting spot checks across outlets to ensure all outlets maintain hygiene standards, avoid expired items, mismatching labels or any other quality deviations
  • Enhancing store ambience (lighting, music and signage) to create the ideal shopping environment for customers
  • Carry out the business requirements of Head of Operations or/and management
  • Maintain and ensuring a superior customer service is provided to all customers by attending and resolving customer complaints whenever necessary
  • Maintaining a healthy relationship with suppliers and other external stake holders (CAA/ MOH/ Municipal Council etc.) and utilizing their services in the optimum way
  • Responsible for the overall employee wellbeing, motivation of employees, staff grooming, maintaining necessary disciplinary levels while keeping the employee turnover rate to a minimum
  • Assisting the HR department in identifying training requirements and embedding a performance driven culture
  • Closely observing competitor’s, their product range, promotions and sales tactics in order to determine ways in which Tops can improve services and heighten customer experience.
  • Liase with marketing department and ensuring the necessary promotions are carried out in a timely and a cost-effective manner
  • Engage in outlet visits on a weekly basis to ensure the smooth operation of Tops outlets.
  • Adhering to corporate values, company policies and procedures, corporate governance, code of conduct and relevant legislation
  • Being a SPAR ambassador and maintaining all set standards
  • Assist in work related to Excise department across all outlets.
  • Train TOPs personnel on excise book and other related work when required.

Minimum requirements

  • Degree in hotel management or Business Management preferred
  • G.C.E O/L and A/L
  • Minimum 03 years of experience in Liquor store or in similar capacity
  • Minimum of 1 year in a management role is preferred
  • Good knowledge of alcohol, wines and beers
  • Good knowledge in both oral and written
  • Manage a team of people to achieve set targets
  • Communicate effectively with consumers, teammates and suppliers
  • Being proactive and developing strategies to improve sales
  • Listening and attention to details
  • Ability to take control of issues and mitigate as per business needs
  • Ability to work through numerous and varied decisions taken under pressure
