Communications, Reporting & Outreach Coordinator (YOU LEAP / EMPOWER)

The Communications, Reporting & Outreach Coordinator will be under the overall supervision of the Program Managers.

Main Responsibilities:

  • Develop and implement communication visibility guidelines and strategies for the Sri Lanka Country program and its Projects, targeting internal and external audiences.
  • Take the lead role in managing and maintaining Projects/program-related communication materials, ensuring brand consistency and message clarity following the communication guidelines and policies of HELvetas.
  • Facilitate project staff/partners staff on use of communication and outreach materials in accordance with the guidelines developed.
  • Collection of qualitative and quantitative information on the program and its projects including photos and videos with close coordination of Projects’ team members.
  • Collect, analyze and maintain accurate and well-organized communication related data of HELvetas.
  • Create and maintain a Photo Bank of all activities related to the country program and its projects, always adhering to HELvetas guidelines and policies, giving special attention to Child Protection policies, and Gender and Cultural sensitivity.
  • Develop promotional materials on HELvetas Country program based on outcome of different projects.
  • Keep track on the required reporting requirements and assist the project teams to produce quarterly, semi-annually and annual reporting to the Donors and Head Office.
  • Facilitate the process of producing Government reports and ensure the timely submission to the Project implementation District secretariats and NGO Secretariat.
  • Facilitate with translation of key documents of HELvetas when required.
  • Submit monthly reports on all workshops and meetings that are organized and attended to under respective activities.
  • Develop and implement outreach strategies to engage key stakeholders and the broader community.
  • Organize and participate in events, workshops, and presentations to promote the Country program.

Qualifications:

  • Sound Educational background with a Bachelors’ Degree in a relevant field.
  • Sound knowledge and understanding concepts and approaches related to youth work, and experience in working with youth and preventing violent extremism would be an advantage.
  • At least over 2-3 years proven work experience in a similar capacity in a local NGO/INGO sector.
  • Professional communication skills in English, Sinhala/Tamil is required, with the ability to convey information clearly.
  • Report writing skills in English with clear messaging.
  • Leadership skills with competence in facilitation, communication, networking, presentation techniques and project cycle management.
  • A good team player, with ability to work collaboratively in diverse and multicultural environments with good intercultural competences.
  • Sound working knowledge of MS packages, and ability to use social media platforms for engagement.
  • Result oriented personality with strong organizational and time management skills and the ability to effectively prioritize tasks and meet deadlines.
  • Fair knowledge in budget management, fund flow checks, payment transactions, bid analysis, etc.
