Job Title: Manager – Shared Service

Location: Colombo

Reporting To: General Manager

Role Summary

The role is responsible for leading the shared services team, overseeing Finance and operations, including Accounts Payable (AP), Accounts Receivable (AR) activities and coordination with globally operated SBUs.

The position also required the skills of Finance, HR & Administration of the Shared services team while ensuring strong governance through quality control, process standardization, and effective workload management.

Key Responsibilities

• Team Leadership, Supervision & Quality Control
  • Manage and supervise shared service team members to ensure efficient operations, high productivity, and service excellence
  • Ensure quality control and accuracy of work delivered across finance and operational processes
  • Conduct regular reviews of team output, identify gaps, and implement corrective actions
  • Provide guidance, coaching, and performance feedback to team members
• Process Governance & SOP Compliance
  • Establish, implement, and continuously improve Standard Operating Procedures (SOPs) across all functions
  • Ensure strict adherence to SOPs, compliance standards, and internal controls
  • Regularly review and update processes to enhance efficiency, accuracy, and scalability
• Work Allocation & Organizational Oversight
  • Work closely with General Manager to plan, allocate, and optimize workload distribution across the team
  • Ensure organizational structure and manpower planning are aligned with job volumes and business requirements
  • Continuously monitor job numbers, workload trends, and team capacity to maintain operational efficiency
• HR & Administration Related
  • Support the end-to-end recruitment process:
    • Post job advertisements on platforms such as LinkedIn and TopJobs
    • Screen candidates and conduct preliminary interviews
    • Coordinate with HR for smooth onboarding of new hires
  • Monitor and maintain employee records through the Attendance system,
    • Leave tracking
    • Attendance and late reporting
    • Overtime (OT) tracking
• Finance & Operational Reporting
  • Perform month-end activities:
    • Extract job execution reports
    • Calculating No. of jobs completed by the team
    • Coordinate with SBUs for billing arrangements
  • Generate and filter reports for:
    • AMS, ENS, E-Manifest, and other filings
    • Ensure accurate billing coordination with relevant stations
  • Handle periodic reporting requirements and respond to ad-hoc data requests
  • Maintain effective and efficient communication with internal teams and General Manager
• Core Competencies
  • Strong understanding of accounting and billing processes
  • Hands-on experience in Accounts Receivable (AR), Accounts Payable, and reconciliation
  • Strong focus on quality assurance, process control, and continuous improvement
  • Advanced proficiency in Microsoft Excel (preferred)
  • High attention to detail and strong numerical accuracy
  • Excellent communication and stakeholder management skills
  • Ability to manage multiple global stakeholders simultaneously
  • Basic knowledge of logistics operations and familiarity with the Cargowise system (preferred)
• Experience & Qualifications
  • Bachelor’s degree in Commerce, Finance, or Accounting
  • Age: 35 to 40 years
  • 3-5 years of relevant experience in:
    • Finance operations, Accounts Payable and Accounts Receivable
    • Intercompany accounting (preferred)
  • Prior experience in a Freight Forwarding, logistics, or shared services environment will be an added advantage
