Operations Executive – CEO Office

We are looking for a smart, dependable, and highly organized Operations Executive to support the day-to-day operations of the CEO's office. This role combines executive coordination, administrative support, and operational follow-up responsibilities, while also providing exposure to various areas of the business.
Your Key Roles and Responsibilities
- Coordinate and follow up on key action items, priorities, and initiatives driven by the CEO.
- Manage and coordinate the CEO's calendar, meetings, appointments, and day-to-day office activities.
- Coordinate internal meetings, management discussions, meeting notes, reminders, and follow-ups on pending action items.
- Ensure discussions and decisions made during meetings are properly documented, communicated, and followed through to completion.
- Assist in preparing management reports, presentations, proposals, letters and other business documents as required for decision-making.
- Coordinate with internal teams to obtain updates, information, and required documentation.
- Track and monitor important business deliverables, project progress, customer escalations, and operational matters on behalf of the CEO.
- Support the CEO with travel arrangements, scheduling, and related coordination when required.
- Assist in organizing internal meetings, management discussions, and business-related events.
- Handle confidential information with professionalism and discretion.
- Provide administrative and operational support required by the CEO.
- Identify operational bottlenecks and proactively follow up with relevant stakeholders to avoid delays.
- Maintain proper organization of records, documents, and communications related to the CEO's office.
Qualifications and Experience We’re After
- Diploma, professional qualification, or degree in Business Administration, Management, or a related field would be an advantage.
- Around 1-4 years of experience in operations coordination, executive support, office administration, secretarial, or similar coordination roles.
- Strong organizational and multitasking skills.
- Good communication and interpersonal skills.
- Ability to follow through on tasks and manage responsibilities independently.
- Good proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Professional, trustworthy, and able to maintain confidentiality.
- A positive attitude, willingness to learn, and ability to work in a fast-paced environment.
- Prior exposure to a corporate or technology-related environment would be an advantage, but is not essential.
