EXECUTIVE COORDINATOR - GROUP CEO'S OFFICE

We are seeking a highly organized, proactive, and trustworthy Executive Coordinator to support the Group CEO's Office. This role is primarily focused on ensuring seamless day-to-day executive support, with key responsibility for calendar management, travel coordination, and operational follow-up activities that enable the CEO's time to be used effectively and efficiently.

This is a dynamic role for someone who is adaptable, calm under pressure, and able to manage multiple priorities while maintaining strong attention to detail and professionalism.

KEY RESPONSIBILITIES

  • Manage the day-to-day administrative and operational requirements of the Group CEO's Office
  • Take full ownership of the CEO's calendar, including scheduling meetings, appointments, and engagements with accuracy and foresight
  • Coordinate all domestic and international travel arrangements, including itineraries, logistics, and related requirements
  • Follow up on tasks assigned by the CEO to internal and external stakeholders, ensuring timely completion and closure
  • Act as a central coordination point between the CEO and various teams, leaders, and stakeholders
  • Assist in basic project and task coordination where required to ensure smooth workflow across priorities
  • Multitask across competing priorities and assist in triaging requests based on urgency and importance
  • Maintain strong professional relationships with internal and external stakeholders, ensuring smooth communication and coordination
  • Ensure confidentiality, professionalism, and discretion at all times

QUALIFICATIONS & ATTRIBUTES

  • Bachelor's degree or a relevant professional qualification
  • 3-5 years of experience in a similar executive support, coordination, or operations role
  • Prior experience in an NGO/INGO or fast-paced multi-stakeholder environment will be an added advantage
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities with high attention to detail
  • Ability to quickly grasp situations and respond appropriately with sound judgment
  • A pleasant personality with a service-oriented mindset and strong ethical values
  • Proactive, reliable, and able to work independently with minimal supervision
