About the Role
We are looking to hire an Administrative assistant & Operations Analyst to support the EY Special Projects team. The role combines day-to-day administration with analytical reporting and coordination across multiple workstreams. This position suits someone who is highly organized, detail-oriented, confident with data analysis, and comfortable working in a fast-paced environment with changing priorities.
By joining the EY Sri Lanka's special projects team, you will work virtually as a part of a global audit teams that provide audit and assurance services to global entities using international practices. We are seeking to engage a high performing appropriately qualified professional, as full-time employee working from home.
Key Responsibilities (Tasks)
- Provide end-to-end administrative support (calendar scheduling, meeting coordination, minutes, action tracking, follow-ups)
- Manage documentation and shared folders (filing, version control, templates, and document quality checks)
- Maintain trackers for deliverables, approvals, and operational activities; ensure data accuracy and timely updates
- Prepare periodic reports in Excel to support management visibility (KPI tracking, trends, exceptions)
- Support project coordination activities: workplans, status updates, and stakeholder communications
- Assist with reconciliations and basic analytical checks to ensure completeness/accuracy of data and records
- Support process improvements by identifying gaps, documenting processes, and standardizing recurring tasks
- Support ad-hoc requests and fast-turnaround deliverables (data pulls, slide/table updates, summaries, and trackers)
- Assist in preparing materials for leadership updates (weekly/monthly reporting packs, action lists, and key highlights)
Required Skills & Experience
- Proven experience in administration, operations support, or a similar coordination role
- Strong communication skills (email etiquette, meeting coordination, team follow-ups)
- Strong attention to detail and ability to handle confidential information appropriately
- Strong Excel skills (PivotTables, lookups, conditional formatting, charts, and structured reporting) as well as expertise across the different applications within the Microsoft 365 suite
- Ability to organize multiple tasks, prioritize deadlines, and work independently
- Basic analytical thinking: ability to interpret data, identify exceptions, and explain findings clearly
- Project management support exposure (status reporting, tracking actions, and documentation) is an advantage
Added Advantage
- Audit background (or experience supporting accounting/compliance activities) with strong documentation discipline
- Ability to work with Power BI, Alteryx or similar software that are used in data analysis
