CUSTOMS CLEARANCE SPECIALIST
Location: Colombo Port City
Key Responsibilities
- Document Preparation & Declaration
- Prepare full set of customs clearance documents (bill of lading, invoice, packing list, certificate of origin, etc.) based on import cargo information. Assist with HS code lookup and verification, calculate customs duty and VAT according to standard templates, and complete basic customs entry and declaration tasks.
- Data Management
- Record and organize duty slips, customs declarations, and file both paper and electronic copies, ensuring all documents are complete and traceable.
- Shipment Tracking
- Track key milestones from cargo arrival at port to final release, update the clearance progress sheet in a timely manner, and report any delays to the supervisor.
- Compliance & Risk Control (Basic)
- Maintain a basic compliance log (POA, duty slips, customs declarations). Support regular process reviews and follow up on any changes in Sri Lanka Customs policies or tariff rates, and inform the internal team as needed.
- Vendor Coordination
- Communicate with local customs brokers, freight forwarders, and trucking companies for daily operations. Assist in reviewing basic compliance of service providers to help ensure smooth clearance.
- Exception Handling (Assisted)
- Support the handling of routine clearance issues such as inspection, detention, classification disputes, or supplementary declarations. Propose solutions under supervisor’s guidance and help implement them.
- Invoice Checking & Payment
- Check monthly statements from brokers, trucking companies, and forwarders, and prepare payment requests.
- Data Reporting
- Prepare a monthly basic clearance data report (transit time, error rate, cost summary). Provide simple suggestions for improvement under supervisor’s review.
Qualifications and Experience
- Diploma or above. Major in International Trade, Logistics Management, Law, or related fields preferred.
- 3 years of hands-on experience in import customs clearance in Sri Lanka. Experience in routine document processing and basic customs operations is acceptable.
- Familiar with basic Sri Lanka Customs clearance procedures, HS code lookup, duty calculation, and standard document requirements.
- Good English reading and writing skills; able to communicate with local customs brokers, shipping lines, and clients via email and simple phone calls. Fluent spoken English is a plus but not required.
- Basic problem-solving skills and ability to work under normal work pressure. Able to handle routine operational tasks.
- Proficient in Microsoft Office (Word, Excel) and able to perform basic data entry accurately.
- Detail-oriented, responsible, and able to handle multiple tasks in parallel.
