CONFIDENTIAL SECRETARY TO CHIEF OFFICER - HUMAN RESOURCES

Duties & Responsibilities
- Provide comprehensive confidential secretarial and administrative support to the CO-HR.
- Manage the CO-HR's daily diary, appointments, meetings and schedules, ensuring appropriate prioritization and coordination.
- Receive, screen and appropriately route telephone calls, visitors, correspondence and other communications.
- Prepare and format confidential letters, memoranda, reports, presentations, minutes and other official documents.
- Maintain an organized filing and document-management system for the CO-HR's office and ensure timely retrieval and availability of documents and information required by the CO-HR.
- Coordinate communication between the CO-HR and internal departments, employees, senior management and external stakeholders.
- Monitor pending correspondence and ensure that matters requiring action are brought to the attention of the CO-HR.
- Coordinate meetings chaired by or attended by the CO-HR and prepare meeting schedules, agendas, briefing materials and relevant documentation.
- Assist the CO-HR in coordinating information required for strategic and management reviews.
- Support the preparation of management reports, presentations and briefing notes.
- Coordinate requests for information received by the CO-HR and ensure appropriate follow-up with relevant HR officers.
- Maintain overall responsibility for the HR Personnel File Room, ensuring the secure custody, proper organisation, timely updating, completeness and accuracy of all personnel files and related confidential employee records, in accordance with established policies and procedures.
Qualifications & Pre-requisites
- Degree/ Special Degree / Professional Qualification or Equivalent related to the functional area from a university/ institute approved by the UGC
- 1-2 years experience in similar capacity
- Excellent written and verbal communication skills in both English and Sinhala.
- Strong organizational and time-management skills with excellent attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Strong interpersonal skills and the ability to work effectively with employees at all levels.
- Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
- Age should be below 45 years
