The Opportunity
We are looking for a highly organized, proactive, and results-driven Assistant Manager - Planning & Invoicing to support operational planning, resource allocation, client coordination, and invoicing activities within our Knowledge Division. The role requires strong leadership, stakeholder management, and analytical skills to ensure smooth execution of audits, timely invoicing, and achievement of operational and revenue targets.
Responsibilities
- Lead the planning and allocation of audit and training resources to optimize operational efficiency and service delivery.
- Coordinate with clients, auditors, technical experts, and internal stakeholders to schedule audits and training activities.
- Monitor audit schedules and ensure completion within required timelines and KPIs.
- Oversee the invoicing process by ensuring accurate and timely billing information is provided for all completed activities.
- Prepare revenue forecasts and assist in monitoring monthly business performance.
- Manage audit-related logistics, including transportation, accommodation, and resource arrangements where required.
- Coordinate certification-related activities, including recertifications, scope extensions, site additions, concessions, suspensions, and cancellations.
- Liaise with local and international stakeholders, including affiliate offices, to facilitate smooth execution of audit operations.
- Maintain strong relationships with clients and auditors to ensure high levels of customer satisfaction.
- Support process improvements, operational excellence initiatives, and compliance with global and local procedures.
- Ensure adherence to SGS Code of Integrity, health and safety requirements, and company policies.
- Supervise, coach, and support team members while contributing to the achievement of departmental objectives.
- Perform additional duties and projects assigned by management.
Qualifications
- Bachelor's Degree, Diploma, or professional qualification in Business Administration, Operations Management, Finance, Supply Chain Management, Marketing, or a related discipline.
- Minimum 3-5 years of experience in operations planning, resource scheduling, invoicing, customer coordination, or a similar operational role.
- Experience in managing multiple stakeholders and coordinating operational activities in a fast-paced environment.
- Strong understanding of operational planning, resource allocation, invoicing processes, and performance reporting.
- Excellent communication and interpersonal skills with the ability to build strong working relationships.
- Strong leadership, coordination, and problem-solving capabilities.
- Proficiency in Microsoft Office applications, particularly Excel, and experience with ERP, invoicing, or workflow management systems.
- Strong analytical, organizational, and time management skills with attention to detail.
- Ability to manage multiple priorities and meet deadlines effectively.
- Dynamic, reliable, customer-focused, and capable of working independently and as part of a team.
- Willingness to work flexible hours, including weekends when required.
