Deputy Manager – Administration

Key Responsibilities

  • Coordinate and monitor Group-wide administrative services and operations
  • Oversee security, janitorial and housekeeping services, fire protection, CCTV, and surveillance systems
  • Manage building maintenance, facilities, and related support services
  • Coordinate property management activities, including lease agreements, tenancy matters, and rent collection
  • Manage fleet administration, including vehicle registrations, insurance renewals, licensing, repairs, and preventive maintenance
  • Monitor contractors and external service providers to ensure agreed service standards are maintained
  • Coordinate with internal departments, branches, vendors, and service providers to resolve operational issues
  • Monitor service costs, quotations, contracts, and administrative expenditure
  • Maintain accurate records, contracts, service agreements, and other relevant documentation
  • Support the implementation of administrative policies, procedures, compliance requirements, and internal controls
  • Identify opportunities to improve operational efficiency, service quality, and cost-effectiveness
  • Prepare regular management reports covering facilities, properties, fleet, service providers, and other administrative functions

Requirements

  • Degree or professional qualification in Business Administration, Management, Facilities Management, or a related discipline
  • More than 5 years of relevant experience in administration, facilities management, property management, fleet management, or a similar role
  • Experience within a diversified Group environment will be an added advantage
  • Previous experience in the Armed Forces, Police Service, or other disciplined services will be an added advantage
  • Strong coordination, negotiation, contractor, and vendor management skills
  • Good knowledge of administrative procedures, compliance requirements, and internal controls
  • Excellent communication, interpersonal, and problem-solving skills
  • Ability to manage multiple responsibilities and coordinate effectively with internal and external stakeholders
  • Proficiency in MS Office applications
