As we continue to grow, we are looking for an energetic and organized Office Coordinators to support our operations.

Position Overview:

The Office Coordinators will play a key role in ensuring the smooth running of both administrative and operational activities. This includes managing job site allocations, team coordination, preparing quotations, sales coordination and overseeing day-to-day office tasks. The ideal candidates will be highly organized, proactive, and comfortable working in a fast-paced environment.

Key Responsibilities:

  • Coordinate daily job site allocations and scheduling for the installation teams
  • Prepare and issue client quotations based on project requirements
  • Provide administrative support to office staff and management
  • Manage communication between office, field teams, and clients
  • Assist the sales team by preparing proposals, following up with clients, maintaining client databases, and coordinating sales activities
  • Maintain organized project and client records in an orderly manner
  • Assist in procurement and inventory management for project materials
  • Attend to general office administration, including mail handling, document filing, and basic bookkeeping tasks
  • Support in organizing client meetings and company events
  • Ensure that office operations comply with company policies and procedures

Qualifications:

  • Previous experience in an administrative or coordination role (experience in the solar, construction, or technical services sector will be a plus)
  • Strong organizational skills with attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to manage multiple tasks and prioritize effectively
  • Excellent communication and interpersonal skills
  • Ability to work independently and take initiative
  • Diploma or degree in Business Administration, Management, or a related field preferred
