Job Title:
Junior Personal Assistant/Secretary, reporting to the Director. She will support the work of the Director and the AJ Team and be a key player in driving the implementation of AJ Events strategic goals as well as guiding the optimization of day-to-day operations. English speaking and writing are fluently needed.
Junior Personal Assistant / Secretary will also represent AJ Events and oversee all administration and operations in the countries where we work which currently USA, India, Maldives and Dubai and potentially new developing countries in Asia within the next one years.
Our ultimate goal is to build local capacity, eventually enabling each partner country operation to become self-sustaining.
Prefer:
- School Leavers age between 21 years to 29 years.
- English speaking and writing is compulsory (Fluent in English is an added advantage).
General Responsibilities:
- Oversee the Administration & Management Operations team.
- Oversee Admin and operational plans with advisers and Director all the AJ Events collaborations countries.
- Supervise, in collaboration with the Director, resource allocation.
- Establish operational processes/ process improvement.
- Ensure all department heads are fully informed of operational objectives.
- Ensure activities comply with organizational requirements for quality management, legal stipulations, and general duty of care.
- Implement and keep current the written policies that promote company culture and vision.
Key Responsibilities:
- Assist to the Director and AJ Team.
- Planning for events & Operations Local & Overseas.
- Should able to stay and work for Events Operations Colombo and Outstation alone and with the team / Director.
- Early and late hour working.
- Attending for Meetings with Director / Team or Induvial and manage the operations.
- Travelling to Overseas events and meeting foreign clients with Director.
- Local and Foreign client’s coordination and meeting attendance.
- Support the team with operational work and implementing the operational plans.
- Maintain an organized and efficient work environment.
- Liaising with Director to make decisions for operational activities and set strategic goals.
- Planning and monitoring the day-to-day running of business to ensure smooth progress.
- Manage relationships/agreements with external partners/vendors.
- Maintain company administration documentation, files, Vendor list etc.
Salary:
The salary for this position is dependent on experience and qualifications, with a range of 55,000/Mo starting on evaluation period of 6 Months. Opportunity to grow within the company.
Working Hours:
Working hours 9.00am to 5.00pm (except events days).

- Official leave according to Labor rule in Sri Lanka will be applied.
- Event allowance Rs.10,000/ upwards per event given.
- Transport allowance Rs.10,000/.
Special Note:
- No disturbance or family influence during the work environment.
- Free hand to work without any interruption from third party during the work environment.
- Discipline action will be taken if any case of above disturbance.
- Director can remove if any disturbance or unsatisfactory behaviors with immediate effect without prior notice.
- Punctuality has to be there, work on time, attendance.
- No personal or family work during the working hours and events operations.
- Should attend for any events in Colombo, Outstation or overseas during the stay with company, this can be as a team or individual participation with Director or team.
- No transportation allowance will be provided before 9.00am and after 5.00pm normal working hours (transportation can be provided work attendance before 8.00am and after 6.00pm).
