The HALO Trust is the world’s largest and oldest international humanitarian mine action non-government organization (NGO). HALO has been working in Sri Lanka since 2002 and now has over 1,000 staff working in the Northern Province with offices in Jaffna, Kilinochchi and Mullaitivu. To date, HALO has safely destroyed over one million items of explosive ordnance, including more than 270,000 anti-personnel landmines. HALO and other mine action stakeholders are working to clear Sri Lanka of all known contamination by 2028 to meet Sri Lanka’s obligations as a state party to the Anti-Personnel Mine Ban Convention.

We are looking to recruit Finance and Administration Assistant – Colombo Office. Provide support to ensure the finance process is delivered on time and to a high standard and support Colombo team on Administrative related work. The Finance and Admin Assistant has the overall responsibility of assisting a smooth implementation of day-to-day accounting transactions and administrative duties including communication supports for the HQ and Jaffna office, ensuring implementation of donors’ rules and regulations and HALO Trust finance policies & procedure.

Key Responsibilities:

  • Accurate and timely recording of financial transactions in HALO’s online accounting system
  • Ensuring proper and timely archiving of financial records, including digital and physical archives
  • In charge of petty cash payments, and support cheque payments including on-line payments of assigned project/s
  • One of the key users in NetSuite for data entry for payments and reconciliation.
  • Ensuring proper maintenance of the record keeping and filing system of the projects including scanning financial documents
  • Review and support Colombo petty cash book
  • Supporting to online payment preparing the monthly cash request
  • Assisting with internal and external audits
  • Checking all payment documents
  • Preparing accounts supporting document for filing and scanning
  • Support Jaffna finance team during the month end process
  • Supporting day-to-day operations
  • Handling incoming calls and emails, drafting correspondence, and ensuring timely communication within the office and with external parties.
  • Ensuring that office cleaning and office assistance functions are performed efficiently.
  • Preparing mail for courier services and dispatching arranging for collection of packages as requested.
  • Assist in volunteer administrative matters such as logistics, accommodation, travel matters, sharing accurate information, arrangements for hotel accommodation, airport transfers, tracking of lost luggage, if necessary, meet and greet arrangements
  • Any other duties as required by the Finance Manager / Colombo Office manager

Qualifications & Skills:

  • Minimum qualification of undergraduate degree in Finance and Business Administration; or the equivalent,
  • Minimum of 1-3 years of finance work experience in NGO sector
  • Knowledge and/or experience working in the development sector / donor funded projects would be an asset.
  • Experience using computerized financial accounting systems, especially online-based ERP systems.
  • Extensive knowledge of Microsoft Office, particularly Excel, as well as the ability to learn other software tools readily and implement/use them successfully.
