Magical Moments by Charm Weddings & Events is Looking for

A Finance & Admin Executive

Magical Moments, Sri Lanka's premier Destination wedding & event planner, is seeking a passionate and detail-oriented Finance Admin and Procurement Coordinator to join our team. You'll play a vital role in supporting our team in creating unforgettable experiences for our clients.

What you'll do:

  • Administration and Financial Management:
    • Develop and manage event budgets, ensuring cost-effectiveness.
    • Prepare BOQ & job sheets for the designs approved.
    • Obtain quotes from suppliers for designs approved.
    • Prepare detailed cost sheets for events.
    • Communicate with clients on event quotes / event costing & costing negotiations.
    • Handle all payments, both to vendors and from clients.
    • Follow up on vendor quotes and finalize order sheets after budget approvals.
    • Collection of payments from clients.
    • Manage bank correspondence and reconciliations.
    • Process payroll and manage salary disbursements.
    • Manage Company accounts and liaise with company accountant & auditors and manage the company accounts & annual audit process.
    • Manage petty cash and advances.
    • Prepare quotes for potential clients, ensuring competitive pricing.
    • Assist with administrative tasks like filing, data entry, and document preparation.
    • Research and build relationships with top-quality vendors.
    • Manage purchase orders for approved event styling needs.
    • Maintain accurate profit and loss statements (PNLs).
    • Coordinate with suppliers for on-time deliveries and ensure quality checks.
    • Maintain a comprehensive vendor database with updated information.
    • Manage general running of office & office maintenance.
    • Monitor & Manage staff attendance.
    • Manage company inventory, purchases & repairs.
    • Liaise with Company Secretary and coordinate related documentation work.

We're looking for someone with:

  • Exceptional organizational skills and a keen eye for detail.
  • The ability to juggle multiple tasks and meet deadlines with ease.
  • Strong communication and interpersonal skills.
  • Proficiency in MS Office or similar software programs.
  • Prior experience in finance, procurement, auditing, or a related field (a plus!).

Minimum Qualifications

Minimum Qualification Diploma in Admin and Procurement.
