About the Role
We are looking for an experienced and reliable Remote Executive Assistant to support our client’s Executive Office and Leadership Team. This is a key role that requires strong initiative, proactivity, and precision. You’ll be an integral part of our business operations, managing schedules, communications, reporting, and project coordination.
Please Note: This role requires you to work in alignment with Australian Eastern Daylight Time (AEDT). Applicants must be able to work reliably from 2:30 AM to 11:30 AM Sri Lanka Time, Monday to Friday.
Mandatory Requirements
- Minimum 3 years’ experience in an Executive Assistant, Personal Assistant, or secretarial role supporting C-suite or senior leadership
- Proven track record working remotely in a similar capacity with demonstrable outcomes
- Fluent written and verbal communication in English
- Experience with international clients or time zones is highly regarded
- Advanced skills in Microsoft 365, including Outlook, Word, Excel, Teams, MS Planner, and MS Project
- Highly professional and discreet with the ability to handle confidential information
- Reliable internet connection and a distraction-free home office setup

Key Responsibilities
- Serve as the first point of contact for the Executive Office
- Manage and triage the Leadership Team’s inboxes, calendars, and communications
- Coordinate and prepare meetings, agendas, and minutes; track action items
- Liaise with consultants to ensure compliance obligations are met (e.g., ATO, ASIC)
- Manage executive-level reporting, internal documentation, and file organisation
- Track and support special projects to ensure milestones and deliverables are met
- Prepare presentations and executive correspondence with minimal guidance
- Arrange travel, logistics, and manage reimbursements or financial reports as required
- Follow up with internal teams on behalf of the Executive Office to ensure timely delivery
- Maintain discretion and professionalism while dealing with clients, staff, and subcontractors
- Actively anticipate needs and provide seamless support to enable high-level decision-making
