We are currently seeking a Admin Specialist / Receptionist to support our healthcare industry clients in Australia, ensuring smooth communication, scheduling, and administrative coordination.

ADMINISTRATIVE SPECIALIST / RECEPTIONIST
RESPONSIBILITIES
- Provide end-to-end administrative support to Australian medical practice clients.
- Manage patient communications including calls, E-mails and appointment coordination.
- Schedule, reschedule, and coordinate patient appointments and medical practitioner calendars.
- Maintain accurate digital records, patient files, and medical documentation in line with clinic procedures.
- Support preparation and handling of medical forms, referrals, and practice documents.
- Deliver professional receptionist support, ensuring a high standard of patient experience and communication.
- Assist in billing-related administration, follow-ups, and basic practice coordination tasks (training provided if needed).
- Identify process improvements and support continuous improvement in administrative workflows.
APPLICANT PROFILE
- Prior experience in admin, receptionist, customer service, or healthcare support roles.
- Excellent spoken and written English with strong professional communication skills.
- Strong organisational and time management skills with ability to handle multiple tasks.
- High attention to detail, especially in documentation and patient-related records.
- Ability to work effectively with international (Australian) clients and teams.
- Proficient in MS Office and general office/admin systems (experience with medical systems is an advantage).
- Adaptable, proactive, and capable of working in a fast-paced healthcare environment.
WORK HOURS & LOCATION
- Monday to Friday (2 days from home).
- 5:30 AM to 2:00 PM.
- Colombo or Negombo office.
