Executive Personal Assistant To the Directors

Trillium Group is seeking a highly organized, proactive, and trustworthy Executive Personal Assistant to provide direct support to the Directors across both professional and personal matters.

This role requires an individual who can efficiently manage schedules, communications, travel arrangements, administrative functions, project coordination, and personal affairs while maintaining the highest levels of professionalism, discretion, and confidentiality.

The successful candidate will work closely with the Directors and play a key role in ensuring the smooth management of day-to-day responsibilities across multiple business interests and personal commitments

We are looking for a dependable, resourceful, and solutions–oriented individual who enjoys taking ownership, staying organized, and ensuring that things get done efficiently. The ability to anticipate needs, manage competing priorities, and maintain confidentiality is essential.

Key Responsibilities:

  • Manage and coordinate the Directors’ calendars, appointments, meetings, and daily schedules.
  • Screen and manage emails, correspondence, and communications.
  • Coordinate meetings, prepare reports, presentations, and follow-up actions.
  • Track and monitor tasks, deadlines, and ongoing projects.
  • Liaise with staff, consultants, contractors, clients, suppliers, and external stakeholders on behalf of the Directors.
  • Coordinate personal appointments, bookings, reservations, and family-related events.
  • Arrange and monitor payments, invoices, subscriptions, and administrative transactions.
  • Assist with banking, documentation, and general administrative requirements.
  • Support special projects and ad-hoc assignments across the Group’s business operations.
  • Maintain confidentiality in all matters relating to the Directors and the Group.

Requirements:

  • Minimum 2 years’ experience in an Executive Assistant, Personal Assistant, Administrative, or similar role
  • Excellent command of English and Sinhala, both written and spoken.
  • Professional command of Tamil, both written and spoken would be an added advantage.
  • Strong organizational and time-management skills.
  • Exceptional attention to detail and ability to multitask.
  • High level of integrity, professionalism, and discretion.
  • Proficiency in Microsoft Office and Google Workspace.
  • Ability to work independently and take ownership of responsibilities.

Key Information:

  • Candidates who are available to join immediately will be given preference.
  • Final salary will be commensurate with the candidate’s qualifications and experience.
  • The office operates 5.5 days a week, Monday to Friday – 8:30 AM to 5:30 PM and Saturday – 9:00 AM to 1:30 PM.
  • Office is based in Kirulapone, Colombo 5.
  • This is not a contract role, it is for permanent staff (6 months probationary period).
