Role Overview

We are seeking a highly organized, trustworthy, and detail-oriented Secretary to provide comprehensive administrative and secretarial support to our Manager Finance at the Head Office in Nawala.

The ideal candidate will efficiently handle departmental schedules, manage confidential documentation, maintain meticulous audit-ready records, and uphold strict financial discipline and governance in supporting the day-to-day operations of the finance division.

Responsibilities

  • Secretarial Support: Handle independent correspondence, manage the Manager Finance's calendar, schedule critical department meetings, and prepare precise meeting agendas and minutes.
  • Document Control: Maintain strict confidentiality, organize, and safeguard vital board papers, financial reports, tax files, and legal agreements.
  • Departmental Coordination: Act as a key liaison between the Finance Division, internal departments, factory units (Wattala/Yakkala), and external stakeholders including auditors and banking institutions.
  • Report Compilation: Assist in preparing, formatting, and compiling corporate financial presentations, monthly management reports, and regulatory compliance documentation.
  • Administrative Oversight: Manage inward/outward department files, trace pending approvals, and ensure timely follow-up on operational financial workflows.

Requirements

  • Education: Successful completion of G.C.E. A/L; a professional qualification in secretarial practice or a partial qualification in finance/accounting (AAT, CASL, CIMA) will be a distinct advantage.
  • Experience: Minimum 3–5 years of proven experience as a Secretary or Executive Assistant, preferably working closely with a corporate finance or management team.
  • Technical Skills: Exceptional proficiency in MS Office (Word, Excel, PowerPoint) and excellent drafting skills in English. Experience with digital HRIS or ERP documentation tools is preferred.
