MANAGEMENT ASSISTANT
ROLE OVERVIEW
The Management Assistant will provide comprehensive administrative and operational support to the Academic Administration and Quality Assurance (AA & QA) Unit. The role contributes to the effective coordination and implementation of academic processes, quality assurance activities, and regulatory compliance functions of the Institute.
KEY RESPONSIBILITIES
- Assist syllabus mapping activities and processing of exemptions for professional programmes offered by IBSL.
- Assist in the administration of the exemptions process, including documentation management, liaising with external educational institutions, and responding to student inquiries.
- Assist in activities related to obtaining and maintaining National Vocational Qualification (NVQ) recognition for the IBSL Professional Programme.
- Assist in coordinating the study pack development project by liaising with developers, moderators and other resource personnel, and maintaining related documentation.
- Assist in the verification of student entry qualifications in accordance with IBSL admission criteria for professional programmes and handle students' inquiries on the same.
- Maintain accurate and up-to-date academic, administrative, and quality assurance records and documentation.
- Provide administrative support for meetings, committees, and academic activities conducted under the AA & QA Unit.
- Support coordination and monitoring activities related to Accredited Education Centres.
- Undertake any other duties assigned in support of the Unit's operational and quality assurance functions.
CANDIDATE PROFILE
Educational Qualifications:
- A Bachelor’s Degree in management stream from a university recognized by the University Grants Commission (UGC), OR
- Passed Finalist of the IBSL Professional Programme, OR
- A recognized professional qualification in a management-related field.
Work Experience:
- Minimum of one (1) year of experience in academic administration within a recognized higher education institution is preferred.
Age:
- Age preferably below 30 years at the closing date of applications
SKILLS AND COMPETENCIES
- Strong administrative and organizational capabilities with the ability to manage multiple tasks effectively.
- Excellent written and verbal communication skills in both English and Sinhala.
- High level of attention to detail and accuracy in record-keeping and documentation.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
- Ability to work independently with minimal supervision and meet deadlines under pressure.
- Flexibility and willingness to work beyond standard office hours when required.
- Familiarity with academic administration processes and regulatory/quality assurance documentation is an added advantage.
