Executive – Facilities & Administration

We are seeking a dynamic professional to join the amante HR team as Executive – Facilities & Administration. The role focuses on ensuring efficient administrative operations, effective facilities management, and seamless coordination of workplace services to support business operations and maintain a productive work environment.

The ideal candidate will gain exposure to administration, facilities management, and HR operations while supporting workplace efficiency and employee engagement initiatives.

KEY RESPONSIBILITIES

  • Coordinate daily administration and office operations to ensure an efficient and well-organized workplace
  • Manage documentation, records, correspondence, filing systems, and administrative support activities
  • Coordinate meetings, visitor management, internal communications, and employee engagement activities
  • Oversee office facilities including maintenance, housekeeping, safety, utilities, and workplace upkeep
  • Manage vendors and service providers to ensure quality and continuity of office services
  • Work closely with the HR team to support employee engagement initiatives, HR administration, and workplace services.
  • Maintain administrative records, contracts, invoices, reports, and operational documentation
  • Process administrative payments, approvals, and related documentation in a timely manner
  • Work closely with internal teams to support smooth execution of operational requirements
  • Identify and implement improvements to enhance workplace efficiency and service standards

QUALIFICATIONS

  • Degree or Diploma in Business Administration, Management, Facilities Management, or a related field
  • Prior experience in administration, facilities management, or executive support roles
  • Experience coordinating with multiple departments, vendors, and stakeholders
  • Language proficiency in both English and Sinhala
  • Ability to meet deadlines and work under pressure
