The role is responsible for ensuring efficient procurement processes, maintaining compliance with organizational policies, and delivering cost-effective purchasing solutions that support operational excellence across the hotel.

Assistant Manager – Procurement

Responsibilities

  • Support vendor coordination by maintaining and developing strong relationships with existing suppliers while assisting in onboarding new vendors.
  • Oversee the daily processing of purchase requisitions and preparation/issuance of purchase orders in compliance with procurement procedures.
  • Ensure accuracy of purchase order details including specifications, quantities, pricing, and delivery schedules in line with approved requirements.
  • Conduct market research, price comparisons, and supplier evaluations to identify cost-saving opportunities and support informed decision-making.
  • Manage the Request for Quotations (RFQ) process by obtaining quotations, preparing comparative statements, and supporting supplier selection.
  • Assist management in evaluating bids and selecting suppliers based on quality, pricing, and service standards.
  • Monitor supplier performance against agreed service levels and address issues such as delays, quality concerns, and invoice discrepancies.
  • Maintain accurate procurement records, supplier databases, and documentation while ensuring compliance with internal controls and audit requirements.

Qualifications and Experience

  • Bachelor’s Degree in Supply Chain Management, Business Administration, Finance, or a related discipline, with progress towards a professional qualification in procurement or supply chain management considered an added advantage.
  • 3–5 years of proven experience in procurement or purchasing functions, preferably within the hospitality, leisure, or service industry environment.
  • Sound knowledge of procurement procedures, sourcing practices, supplier management, and purchasing operations.
  • Exposure to ERP systems, inventory management systems, and procurement-related software applications considered essential.
  • Experience in vendor negotiations, RFQ processes, and procurement administration.
  • Strong negotiation, communication, and interpersonal skills with the ability to maintain effective supplier relationships.
  • Strong organizational and time-management skills with the ability to manage multiple procurement requests efficiently.
  • Sound analytical, reporting, and problem-solving skills with strong attention to detail and accuracy.
  • Proficiency in ERP systems, inventory management software, and advanced Microsoft Excel applications.
  • Exposure to government procurement procedures will be considered as an added advantage.
