Personal Assistant to Director

The selected candidate will provide administrative and coordination support to the Director, manage schedules and correspondence, maintain confidential records, and ensure smooth day-to-day operations.

  • Act as the point of contact between the Director and internal/external clients.
  • Manage and optimise the Director’s planner, calendar, appointments, meetings, travel arrangements, and daily priorities.
  • Handle professional communication including emails, calls, and official correspondence.
  • Prepare, type, format, proofread, and maintain reports, presentations, letters, minutes, and business documents with accuracy and clarity.
  • Coordinate meetings (physical and virtual) including scheduling, agenda preparation, minutes taking, and follow-ups.
  • Organize and maintain efficient physical and digital filing systems, ensuring proper document control and easy retrieval of records.
  • Maintain confidential records, digital files, contracts, and documentation systems with highest level of discretion and integrity.
  • Support travel arrangements, itineraries, accommodation bookings, and related logistics.
  • Track action points and ensure timely completion of tasks and commitments.
  • Liaise with internal departments to ensure smooth communication, coordination, and workflow.
  • Assist in organizing management meetings, company events, and business-related activities.
  • Ensure all office records, documents, and correspondence are systematically maintained and updated.

Candidates’ Essential Criteria

  • Diploma in Secretarial Studies, Business Administration, or related field.
  • Minimum 3 years’ experience as a Personal Assistant / Executive Assistant to Senior Management.
  • Excellent typing speed and accuracy in English with strong document preparation and formatting skills.
  • Strong proficiency in M365.
  • Excellent written and verbal communication in English.
  • Strong organizational, multitasking, planning, and time management skills.

Candidates’ Non-essential Criteria (Added advantage)

  • Experience in supporting Directors in a corporate or manufacturing/export environment.
  • Familiarity with digital workflow tools, calendar management systems, or document management platforms.

The ideal candidate should be organised, detail-oriented, and able to support the Director through effective coordination, strong confidentiality, and accurate documentation while managing priorities under pressure.
