Logistic and Warehouse Manager Vacancy- Pact International Post of Operations Assistant

Pact seeks Program Officer for the USAID CSM-STAND Sri Lanka Bolstering Civil Society (BCS) Activity based in Colombo and working under the supervision of the Senior Program Manager based in a BCS project office. The project's overall goal is to assist Sri Lanka in maintaining a vibrant civil society that empowers citizens to advance the democratic values of citizen participation. Activities will link CSOs across communities, districts, and regions to have a voice in local governance and national reform processes. The positions will serve as primary points of contact for regional and district level CSOs to provide and/or strategically link to technical assistance and conduct frequent and routine subaward monitoring. Further, the positions will provide technical support in start-up and implementation of programmatic activities in addition to managing and monitoring of program budgets and reporting as per adherence to USAID, Pact, and international standards. This is to be a five-year program that commenced in September 2022.

The Operations Assistant is to provide overall administrative and operational support for the project, including but not limited to supporting with proper operations of the office, facilities, and equipment, organizing project events logistics, and assisting in preparing travel arrangements, while ensuring compliance with Pact, USAID regulations, and Sri Lankan legislation.

Specific Duties

The specific duties to be carried out by the Program Officer are listed below:

  • Maintenance of petty cash impress, submitting the utility bills and other payment to head office on a timely manner
  • In cooperation with the procurement assistant, develop and maintain vendors, consultants' database, and ensure that this information is available to all staffSupporting on local procurement process.

Assist project staff with business travel arrangements and accommodations

Assist with project events logistics - venue selection and set-up, participant and/or guest lists, engage with vendors and other related tasks.

Responsible for office supplies (including ordering and storing), office furniture (including discussions on selection), office equipment and package deliveries/pickups including rentals.

Reviewing project staff travel claims, leave applications and mainting respective records.

Ensure the professional appearance of the office space including kitchen, reception area, common supply and conference rooms, and workstations

Receive and screen all incoming telephone calls and correspondence, transfer it to addressee, greet visitors Facilitate/participate in outreach activities such as committees (i.e., special occasions committee) and task

forces.

All other duties as assigned.

Basic Requirements

High School diploma and 4 years relevant experience or University degree in Administration or equivalent combination of education and experience.

2-3 years' experience in operational field in an international donor-funded programs in the development sector.

Fluency in local language(s) and functional proficiency in English.

Ability to perform and prioritize multiple tasks.

High degree of professionalism and ability to deal sensitively with confidential material.

Strong interpersonal communication skills.
