VACANCY FOR THE POSITION OF PERSONAL ASSISTANT TO THE MANAGING PARTNER

We are a leading law firm in Sri Lanka looking to recruit a highly motivated, disciplined, and efficient person to the role of Personal Assistant to the Managing Partner.

The chosen candidate should be fluent in both English and Sinhala, computer literate, and be able to work independently.

A minimum of 3 years' prior experience in a similar position is required, and an attractive remuneration package will be offered to the chosen candidate.

Job Description

  • To provide effective and efficient high-level executive support including the prioritization of work, diary management, meetings management and communication & document production.
  • He or she will need to ensure that all aspects of the administration, planning, and coordination of work streams with respect to the Managing Partner's office are managed effectively and efficiently.
  • Act as the first point of contact for the Managing Partner and maintain the effective working of his office in his absence.
  • Maintain the highest level of confidentiality and adherence to policies and procedures.
  • Manage diaries by scheduling, prioritizing, and managing appointments, travel arrangements, and documents for meetings.
  • Managing local and overseas travel arrangements of the Managing Partner-both official and personal, as well as travel arrangements for official travel of the senior staff when required.
  • Managing and prioritizing correspondence, track incoming and outgoing correspondence, and ensure replies are produced and dispatched within the required timeframe.
  • Ensure that cyclical and management deadlines for reports, reviews, budgets, staff appraisals, etc. are met.
  • Maintain effective communication and working relationships with key partners and stakeholders at an operational level.
  • Attend specified meetings and take notes, draft minutes and action recommendations as required.
  • Manage and organize external/internal events as required with relation to both staff and clients.
