Role Overview

Providing high-level secretarial and administrative support to the Finance Manager, managing correspondence, scheduling, document workflow, and assisting with routine finance-related documentation.

Key Focus: Organizing daily managerial schedules, maintaining confidential financial records, coordinating inter-departmental communication, and ensuring smooth administrative operations within the Finance Department.

Responsibilities

  • Administrative & Secretarial Support: Manage the Finance Manager’s calendar, screen calls, handle correspondence, and organize internal/external meetings.
  • Documentation & Filing: Maintain physical and digital filing systems for financial records, contracts, and confidential documents with strict data privacy.
  • Reports & Presentation Preparation: Assist in collating routine financial reports, preparing meeting agendas, taking minutes, and drafting presentations.
  • Departmental Coordination: Act as a point of contact between the Finance Manager, internal teams, external auditors, banks, and vendors.
  • Office Operations: Coordinate routine departmental logistics, travel arrangements, expense claims, and stationery requests.

Qualifications

  • Passed G.C.E. A/L with a recognized Diploma in Secretarial Studies, Executive Secretarial Practice, or Business Administration.
  • Minimum 2-3 years of secretarial or administrative experience, ideally supporting mid-to-senior management within a corporate environment.
  • High proficiency in MS Office (Word, Excel, PowerPoint) and professional email etiquette.
  • Excellent command of written and spoken English with strong interpersonal and organizational skills.
  • Discretion in handling sensitive financial and confidential information.
