Position Overview:

We are seeking a detail-oriented and proactive Operations Coordinator to join our dynamic team. The ideal candidate will play a critical role in ensuring smooth day-to-day operations by managing documentation, coordinating with customers, and supporting sales and administrative functions.

Key Responsibilities:

• Maintain proper documentation and filing systems for operational records.
• Prepare professional correspondence, reports, and standardized business documents.
• Update and manage operational data, including purchase records and order tracking lists.
• Generate and distribute daily, weekly, and monthly performance and sales reports.
• Monitor promotional and free issue allocations, ensuring timely updates and recordkeeping.
• Coordinate with clients and internal teams regarding orders, deliveries, and related follow-ups.
• Handle customer onboarding and maintain updated customer records.
• Ensure timely and accurate processing of invoices and order documentation.
• Maintain clear communication with customers and support order management processes.
• Assist in preparing periodic operational summaries and revenue reports for management review.

Qualifications:

• Proven experience in an administrative or coordination role.
• Proficiency in MS Office (Word, Excel, Outlook).
• Excellent organizational and time management skills.
• Strong communication skills, both written and verbal.
• Attention to detail and ability to multitask.
• Familiarity with invoicing and basic accounting is a plus.
