1. Background
Arava Group of Companies is an ISO 9001:2015 quality-certified manufacturing company of coconut-related soil substrate products, with three fully equipped manufacturing locations in Sri Lanka, providing employment opportunities for over 300 people. 2. Objectives of the Position
The Administrative Secretary will play a pivotal role in facilitating communication, implementing executive decisions, ensuring administrative efficiency, and contributing to the company’s export operations, procurement, and business development activities.
3. Key Responsibilities
- Executive Support
- Provide comprehensive secretarial and administrative support to the Chairman and Management.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Draft, review, and manage correspondence, reports, and documents.
- Follow-Up and Coordination
- Track and follow up on decisions made by senior management to ensure timely execution.
- Liaise with internal departments to facilitate the implementation of directives and company policies.
- Banking and Financial Liaison
- Provide guidance to the finance department through the Chairman's office in day-to-day banking requirements, including document submissions, deposits, fund transfers, and correspondence with financial institutions.
- Support & assist in the preparation and organization of financial documents for banking and export transactions.
- Procurement and Administration
- Coordinate the procurement of goods and services required for operations, ensuring cost-effectiveness and timely delivery.
- Maintain organized administrative systems and records (physical and electronic).
- Support office management and ensure smooth administrative operations.
- Business Support and Development
- Assist in identifying and supporting potential business opportunities, client communications, and export documentation.
- Coordinate with international buyers, suppliers, and logistics partners as needed.
- Support participation in trade fairs, exhibitions, and other promotional activities.
4. Qualifications and Experience
- Diploma or Degree in Business Administration, Management, or a related field.
- Minimum of 3–5 years of experience in a similar role, preferably in the export or trading sector.
- Excellent written and verbal communication skills in English.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office and familiarity with export documentation an advantage.
- High level of discretion, professionalism, and commitment to confidentiality.
