1. Background

2. Objectives of the Position

The Administrative Secretary will play a pivotal role in facilitating communication, implementing executive decisions, ensuring administrative efficiency, and contributing to the company’s export operations, procurement, and business development activities.

3. Key Responsibilities

  • Executive Support
    • Provide comprehensive secretarial and administrative support to the Chairman and Management.
    • Manage calendars, schedule meetings, and coordinate travel arrangements.
    • Draft, review, and manage correspondence, reports, and documents.
  • Follow-Up and Coordination
    • Track and follow up on decisions made by senior management to ensure timely execution.
    • Liaise with internal departments to facilitate the implementation of directives and company policies.
  • Banking and Financial Liaison
    • Provide guidance to the finance department through the Chairman's office in day-to-day banking requirements, including document submissions, deposits, fund transfers, and correspondence with financial institutions.
    • Support & assist in the preparation and organization of financial documents for banking and export transactions.
  • Procurement and Administration
    • Coordinate the procurement of goods and services required for operations, ensuring cost-effectiveness and timely delivery.
    • Maintain organized administrative systems and records (physical and electronic).
    • Support office management and ensure smooth administrative operations.
  • Business Support and Development
    • Assist in identifying and supporting potential business opportunities, client communications, and export documentation.
    • Coordinate with international buyers, suppliers, and logistics partners as needed.
    • Support participation in trade fairs, exhibitions, and other promotional activities.

4. Qualifications and Experience

  • Diploma or Degree in Business Administration, Management, or a related field.
  • Minimum of 3–5 years of experience in a similar role, preferably in the export or trading sector.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office and familiarity with export documentation an advantage.
  • High level of discretion, professionalism, and commitment to confidentiality.
