EXECUTIVE ADMINISTRATION

We're looking for a dynamic Executive to join our team and take charge of various administrative responsibilities. If you have a keen eye for detail, excellent organizational skills, and the ability to multitask effectively, we want to hear from you.
Responsibilities
- Supervise maintenance checklists to ensure ISO compliance and uphold Quality Management standards for the group.
- Monitor and coordinate timely service agreements with vendors.
- Assist in procurement, stock maintenance, and distribution of stationery and utilities for the group.
- Manage inbound and outbound correspondence, courier services, and invoice processing with timely follow-ups.
- Handle insurance-related processes and provide seamless support to group employees.
- Maintain accurate records of company assets, ensuring proper intake and disposal procedures are followed.
- Oversee transportation operations, streamline systems, and manage the payment process efficiently.
- Ensure adherence to safety protocols and regulatory requirements across all administrative functions.
- Monitor and supervise janitorial staff, ensuring service levels are maintained to high standards with effective monitoring systems.
- Handle reservations for board and other meeting rooms.
- Oversee staff welfare arrangements, including tea, meals, and first aid.
- Monitor the office area, report breakdowns, and coordinate maintenance and keep the records.
- Monitor and manage records room, sample room, meeting room opening/closure as per supervisor instructions.
- Attend to group-related administrative requirements directed by the department heads.
- Perform additional office-related tasks as assigned by the supervisor.
Qualifications
- Minimum 2 years of working experience in administration or maintenance.
- Have completed studies in Business Administration or a related field.
- Understanding of office management processes and procedures.
- Proficiency in MS Office. Sound knowledge in Excel.
- Excellent communication and interpersonal skills.
- Able to work under pressure.
