EXECUTIVE ADMINISTRATION

We're looking for a dynamic Executive to join our team and take charge of various administrative responsibilities. If you have a keen eye for detail, excellent organizational skills, and the ability to multitask effectively, we want to hear from you.

Responsibilities

  • Supervise maintenance checklists to ensure ISO compliance and uphold Quality Management standards for the group.
  • Monitor and coordinate timely service agreements with vendors.
  • Assist in procurement, stock maintenance, and distribution of stationery and utilities for the group.
  • Manage inbound and outbound correspondence, courier services, and invoice processing with timely follow-ups.
  • Handle insurance-related processes and provide seamless support to group employees.
  • Maintain accurate records of company assets, ensuring proper intake and disposal procedures are followed.
  • Oversee transportation operations, streamline systems, and manage the payment process efficiently.
  • Ensure adherence to safety protocols and regulatory requirements across all administrative functions.
  • Monitor and supervise janitorial staff, ensuring service levels are maintained to high standards with effective monitoring systems.
  • Handle reservations for board and other meeting rooms.
  • Oversee staff welfare arrangements, including tea, meals, and first aid.
  • Monitor the office area, report breakdowns, and coordinate maintenance and keep the records.
  • Monitor and manage records room, sample room, meeting room opening/closure as per supervisor instructions.
  • Attend to group-related administrative requirements directed by the department heads.
  • Perform additional office-related tasks as assigned by the supervisor.

Qualifications

  • Minimum 2 years of working experience in administration or maintenance.
  • Have completed studies in Business Administration or a related field.
  • Understanding of office management processes and procedures.
  • Proficiency in MS Office. Sound knowledge in Excel.
  • Excellent communication and interpersonal skills.
  • Able to work under pressure.
