Job Description: On-Site Team Coordinator
About EFI and Role Impact
EFI is a specialist financial crime managed services firm that helps clients with their financial crime operational challenges. We work with clients who need help with tasks such as clearing alerts or performing CDD reviews in a remediation/backlog situation or for business as usual (BAU). We have a growing operational hub in Colombo with over 70 people onsite. The On-Site Team Coordinator plays a critical role in ensuring smooth operational delivery at the Colombo site, acting as the central point for recruitment, technology, administration, and governance activities. This position directly contributes to maintaining service excellence and operational resilience.
Role Purpose
To manage and coordinate all site-level activities, ensuring seamless communication between local teams, leadership, and external stakeholders. The role ensures operational efficiency, compliance, and a positive employee experience.
Key Responsibilities
Recruitment Support
- Draft and publish job advertisements across relevant platforms.
- Shortlist candidates and conduct initial telephone screenings.
- Arrange interviews with hiring managers.
- Coordinate start dates and onboarding schedules.
- Prepare and issue job offers in collaboration with HR and leadership teams.
- Maintain clear communication with HR and hiring managers throughout the recruitment process.
- Share candidate data with client leads as required.
- Manage Joiners, Movers, Leavers process.
Technology Coordination
- Support the purchase and maintenance of non-client equipment.
- Support on escalations related to internet and electricity outages, coordinating with external vendors.
- Support with technical escalations to EFI's IT team for resolution.
Administrative Management
- Align seating arrangements with team rosters and operational needs.
- Coordinate transport schedules and resolve related issues promptly.
- Manage meeting room bookings and logistics in collaboration with building management.
- Plan and execute site events, including team engagement activities.
- Set up meetings and ensure all required resources are available.
- Track finance exceptions and billing numbers in coordination with Site Lead and QCs.
- Communicate local developments with stakeholders.
- Organize and facilitate site visits for UK leadership and other stakeholders.
- Coordinate quarterly operations townhall and other communications.
Governance & Compliance
- Schedule and administer governance meetings.
- Maintain accurate meeting notes and minutes for record-keeping and follow-up actions.
- Maintain documentation in sharepoints for audit purposes.
Qualifications
- Education: Bachelor’s degree in Business Administration, Management, or related field.
- Experience: Minimum 1.5 years in operations, administration, or site coordination roles (Negotiable).
- Technical Skills: Proficiency in MS Office Suite, collaboration tools, and basic IT troubleshooting.

Reporting Structure
Reports to: Sri Lankan Site Lead and Delivery Lead
Key Interfaces: HR, Recruitment Leads, Tech Support (76 Services), Executive Office, UK Leadership Team
Office Hours and Location
Onsite in Colombo office
37.5 hours with some flexibility on start and finish times
Key Performance Indicators (KPIs)
- Timely completion of recruitment and onboarding processes.
- Zero critical delays in tech escalations and site operations.
- Accuracy and completeness of governance documentation.
- Positive feedback from leadership and employees on site coordination.
