PROJECT MANAGER / PROJECT COORDINATOR

Background

The Family Planning Association of Sri Lanka is a leading national NGO providing sexual and reproductive health and family planning services in Sri Lanka. FPA Sri Lanka is implementing a multi-component project aimed at improving access to inclusive, rights-based Sexual and Reproductive Health and Rights (SRHR) for persons with disabilities. The project includes capacity building, service delivery improvements, community engagement, and research and advocacy.

FPA Sri Lanka invites applications from qualified and experienced individuals for the positions of Project Manager and Project Coordinator.

1. Project Manager

Job Purpose

The Project Manager will be responsible for the overall planning, implementation, coordination, and monitoring of the project to ensure timely delivery of outputs, high-quality implementation, and compliance with donor requirements.

Key Responsibilities

  • Lead overall project planning, including development of detailed work plans, timelines, and resource allocation.
  • Ensure effective and timely implementation of all project components in line with agreed objectives and targets.
  • The Project Manager will report to the Head of Outreach or the designated Project Lead of FPA Sri Lanka and will work closely with relevant internal departments for the effective implementation of the project.
  • Liaise and maintain strong working relationships with government stakeholders, civil society organizations and organizations representing persons with disabilities.
  • Ensure budget implementation and expenditure tracking in collaboration with the finance team to ensure compliance with donor requirements.
  • Follow the procurement processes and ensure timely acquisition and delivery of goods and services required for the project.
  • Ensure the implementation of the monitoring and evaluation framework, including data collection, analysis, and reporting.
  • Prepare and submit high-quality narrative and progress reports in line with donor requirements and deadlines.
  • Ensure compliance with donor guidelines and agreements, organizational policies, and safeguarding/SEA-H standards.
  • Identify potential risks and challenges and implement appropriate mitigation strategies.

Required Qualifications and Skills

  • Bachelor's degree in Social Sciences, Development Studies, Project Management or a related field.
  • Master's degree will be an added advantage.
  • Minimum 7 years of experience in the NGO and/or development sector, including project management experience.
  • Experience in SRHR, disability inclusion, and/or GBV-related programmes is highly desirable.
  • Excellent spoken and written communication skills in English and Sinhala. Tamil and/or sign language skills will be an added advantage.
  • Proven experience managing donor-funded projects.
  • Strong leadership, coordination, report writing and communication skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Willingness to travel to project locations.

The appointment will be for the duration of the project, subject to satisfactory performance and availability of funding.

2. Project Coordinator

Job Purpose

The Project Coordinator will support the effective coordination, implementation, and monitoring of project activities while leading communication, visibility, and social media engagement efforts. The role ensures smooth operational coordination and strengthens the project’s visibility, outreach, and stakeholder engagement through strategic communication.

Key Responsibilities

  • Support day-to-day coordination and implementation of project activities in line with the approved work plan and timelines.
  • The Project Coordinator will report to the Head of Outreach or the designated Project Lead of FPA Sri Lanka and will work closely with relevant internal departments for the effective implementation of the project.
  • Assist in organizing meetings, trainings, workshops, consultations, and field activities, including logistics and documentation.
  • Maintain effective and efficient communication with stakeholders including government agencies, CSOs, and organizations representing persons with disabilities.
  • Maintain project documentation and activity records, and ensure effective monitoring and reporting through data management.
  • Lead and implement project communication and visibility activities and manage and regularly update project social media platforms and digital channels with engaging and accurate content.
  • Develop communication materials (social media, IEC, videos, visibility content) and document project impact through success stories and case studies.
  • Support the preparation of project reports, presentations, and documentation for internal and external use.
  • Ensure timely coordination of tasks assigned by the Project Manager and contribute to overall project efficiency.

Required Qualifications and Skills

  • Bachelor’s degree in Communications, Social Sciences, Development Studies, project management or a related field.
  • Minimum 5 years of experience in project coordination, communications, or social media management (NGO experience preferred).
  • Strong skills in social media management (Facebook, Instagram, LinkedIn, etc.).
  • Experience in content creation, storytelling, photography/videography, and basic graphic design tools (Canva or similar).
  • Good understanding of SRHR, disability inclusion, or development sector work will be an added advantage.
  • Excellent written and spoken communication skills in English and Sinhala; Tamil and/or sign language skills will be an added advantage.
  • Strong organizational, communication, and multitasking skills with ability to manage multiple deadlines.
  • Willingness to travel to project locations when required.
