The Role

PMO Specialist Private Limited is recruiting for an experienced Document Controller to support UK and European construction and engineering projects from our Colombo office. This is a critical role in maintaining the integrity, accessibility, and compliance of all project documentation — ensuring that the right information reaches the right people at the right time, in accordance with project protocols and UK construction standards.

Key Responsibilities

  • Manage the receipt, registration, distribution, and filing of all incoming and outgoing project documents — including drawings, specifications, reports, correspondence, contracts, and submittals — in accordance with the project document management plan.
  • Maintain the project drawing register, document numbering system, and revision control log, ensuring all documents are correctly coded and version-controlled.
  • Operate and administer the project Common Data Environment (CDE) — uploading, reviewing, distributing, and archiving documents in accordance with the information management protocol.
  • Prepare and issue formal document transmittals to subcontractors, designers, clients, and statutory bodies.
  • Chase and track outstanding document submissions, approvals, and responses — maintaining action trackers and chasing overdue items.
  • Maintain and update the project correspondence register, RFI log, submittal register, and technical query log.
  • Coordinate with project engineers and design teams to ensure drawing issues are correctly managed through the CDE workflow.
  • Support compilation of O&M manuals, health and safety files, and project close-out documentation.
  • Prepare regular document control status reports for project managers and clients.
  • Ensure compliance with the project document management plan, BIM Execution Plan (BEP), and any client-specific document control requirements.
  • Assist with project audits and ISO document management compliance checks where required.

Required Qualifications

  • Bachelor's degree in any relevant discipline (engineering, construction management, information management, business administration, or related)
  • Minimum 3 years of professional experience as a Document Controller on construction, engineering, or infrastructure projects
  • APMG Document Controller qualification, ISO 9001 awareness, or equivalent formal document management qualification is desirable

Technical Skills & Software

  • Common Data Environments — at least one of: Aconex, Viewpoint 4Projects, BIM 360 (Autodesk Construction Cloud), Procore, Egnyte, Trimble Connect, or SharePoint Online (advanced)
  • Microsoft Excel — intermediate to advanced (drawing registers, action trackers, status reports)
  • Microsoft Word — preparation of transmittals, letters, and project correspondence
  • Adobe Acrobat and Bluebeam Revu — document review and mark-up
  • Microsoft SharePoint and Teams — document libraries and project collaboration
  • Microsoft Outlook — formal project correspondence management
  • Familiar with BIM processes and the BS EN ISO 19650 information management framework is advantageous

  • Excellent written English — transmittals and correspondence must be clear, concise, and professionally presented
  • Clear spoken English for participation in project calls and meetings with UK teams
  • Ability to handle high volumes of documents across multiple projects simultaneously without error
  • Proactive in chasing outstanding submissions and keeping registers current without being prompted
  • Discreet and professional in handling confidential project information
