Confidential Secretary
Melsta Hospitals is seeking a highly organized, proactive, and professional Confidential Secretary to provide comprehensive administrative and coordination support to the Executive Director / CEO and ensure the smooth functioning of the Office of the ED/CEO.
Key Responsibilities
- Provide day-to-day administrative and coordination support to the Executive Director / CEO and ensure the smooth functioning of the Office of the ED/CEO.
- Manage the ED/CEO's calendar, appointments, meetings, and daily schedule, ensuring priorities are well coordinated.
- Coordinate meetings and appointments with senior management, department heads, consultants, business partners, and other stakeholders.
- Prepare meeting agendas, minutes, reports, presentations, correspondence, and other official documents as required.
- Follow up on decisions and action points arising from management meetings and coordinate with relevant departments to obtain timely updates.
- Handle emails, correspondence, telephone calls, and other communications in a professional, timely, and confidential manner.
- Maintain well-organized and confidential records and filing systems for important management documents.
- Assist in coordinating management meetings, corporate events, official visits, and special assignments handled by the ED/CEO.
- Prepare and compile information and reports required by the ED/CEO, coordinate with relevant stakeholders on assigned matters, and ensure proper follow-up until completion.
- Handle sensitive and confidential matters with discretion, integrity, maturity, and professionalism.
- Take ownership of assigned tasks and ensure they are followed through to completion within the expected timelines.
- Perform any other administrative, office support, or special assignments entrusted by the ED/CEO.
Qualifications & Requirements
- Bachelor's Degree or Diploma in Business Administration, Management, Secretarial Studies, or a related field.
- Minimum 3–5 years of relevant experience in an administrative, executive assistant, personal assistant, or similar role.
- Experience supporting senior management, preferably a CEO/Executive Director, will be an added advantage.
- Excellent command of English and Sinhala, both written and spoken; knowledge of Tamil will be an added advantage.
- Proficiency in MS Office applications, particularly Word, Excel, PowerPoint, and Outlook.
- Strong organizational, coordination, communication, interpersonal, and follow-up skills, with the ability to manage multiple priorities and work under pressure.
- High level of confidentiality, maturity, discretion, integrity, and professional conduct.
- Excellent attention to detail, a positive attitude, and the ability to work independently with minimum supervision.
