PERSONAL ASSISTANT TO THE MANAGING DIRECTOR

We seek an outstanding and energetic professional with high level of dedication and competence to take over responsibilities of the above position.

Responsibilities

  • Efficiently manage all incoming correspondence within the office, promptly assessing the level of urgency for calls, emails, and visitors, and making necessary adjustments to the schedule.
  • Organize and schedule meetings, create meeting agendas, and secure and set up facilities.
  • Efficiently handle all travel arrangements for executives, encompassing both domestic and international schedules for meetings, conferences, roadshows, and travel fairs.
  • Facilitate effective communication between internal departments as a liaison.
  • Collaborate closely and effectively to ensure the Managing Director is kept abreast of future obligations and duties, and provide necessary follow-up when required.
  • Distribute Welcome emails, messages of appreciation, and communications regarding the Blooming Smile (CSR project) to clients, all while interacting with existing tour clients.
  • Handle confidential documents ensuring the remain secure and working closely with HR department for correspondence.
  • Maintain regular communication with Tourism Authorities to ensure that Blue Lanka Tours remains updated and adheres to all regulations.

Qualifications

We are seeking a vibrant and energetic individual with 2-4 years of demonstrated experience as an Executive Secretary or in a comparable administrative position.

  • Female candidate of age less than 35 preferred.
  • Outstanding communication and negotiating abilities.
  • Excellent Organizational and time management skills.
  • Integrity & Confidentiality.
  • Good PR skills and ability to multitask.
  • Degree/ Diploma or an equivalent professional qualification in secretarial from a recognized university will be an added advantage.
  • Remuneration Package Rs.300,000.00 based on the Qualifications and Experiences.
