Job Profile

The Secretary is responsible for providing high-level administrative support to the Managing Director. This includes managing schedules, coordinating meetings, handling correspondence, and maintaining confidentiality. The role acts as a liaison between the MD and internal/external stakeholders, ensuring smooth and efficient communication and operations.

Key Responsibilities:

  • Organize and manage the MD’s schedule, including meetings, appointments, and travel.
  • Draft, review, and manage emails, letters and reports on behalf of the MD.
  • Schedule and coordinate meetings; prepare agendas, take minutes, and follow up on action plans.
  • Maintain and organize confidential files and records, both physical and electronic.
  • Act as the first point of contact for internal and external stakeholders; screen calls and visitors.
  • Liaise with other departments, senior management, and external partners.
  • Track progress on MD’s initiatives and ensure deadlines are met.

Eligibility:

  • Minimum 3 years of relevant experience as a Secretary, Executive Assistant, or in a similar administrative role.
  • Smart personality with a pleasant demeanor and strong presentation skills.
  • Excellent command of English (spoken and written).
  • Strong interpersonal skills with a professional and discreet approach.
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask, work independently, and maintain confidentiality in all tasks.
