Position: Sales and Administration Support
Location: Rinstrum (Pvt) Ltd – Negombo Sri Lanka
Role Purpose and how it contributes to the business:
Rinstrum (Pvt) Ltd is located in Negombo Sri Lanka and is our global production hub as well as providing engineering and sales support services to our sales and service hubs in Australia, United States and Europe. Sales activity is directed globally by the Managing Director in Australia with his sales managers and their teams in Australia, Germany and USA. Primary sales activity for servicing customers in a region is done by the sales hub.
This support role works with the sales hubs to provide back of house support globally for their sales activity. Primarily this involves data entry including sales order entry, invoicing and general database maintenance using our CRM (Act!), M-Files (File, Project and task Management) and the ERP (SYSPRO). As we operate several sales hubs we need to provide data entry for these hubs. Ultimately this assists Rinstrum in providing a more seamless experience for our customers. Providing extra capacity to the sales teams in each hub and for local Sri Lankan sales with CRM, M-Files and ERP work will ensure we maintain better data on our customers and allow us to accurately engage with them.
The role also involves using supplied content for marketing mailouts and generating regular Distributor Reports to ensure our dealer network is kept regularly well informed about Rinstrum.
Skills, behaviours and knowledge required to do the job to an exceptional level:
Technical
- Ability to work in a computerized environment
- Ability to work with Power BI, Excel and Word
- Any experience of working with an ERP and CRM experience is preferred
Personal
- Ability to communicate thru phone, email and work with Australian, Germany and USA sales teams.
- A Bachelor’s Degree in Science, Good written and spoken English.
- Writing skills in German language will be an added advantage.
- Ability to work in USA, Australia or German time zones when required.
Responsibility and Measures of Success:
Sales Order Entry and Invoicing in ERP for hubs and Sri Lanka:
- Daily monitor order email addresses and accurately enter orders (as required)
- Issue Order Confirmation to customer and respond to any feedback
- Daily generate accurate invoices for hubs (as required)
- Data entry in ERP done in a timely consistent manner as required by hub managers
CRM maintenance and Marketing Mail Outs:
- Assist in maintaining accurate customer data in CRM so sales teams can reliably contact customers and the email addresses can be used for mailouts.
- Use CRM and mail service to do mail outs (using content as directed by marketing)
Distributor Report generation and distribution:
- Distributor reports generated regularly (quarterly) for formatted and cross checked – for review by hub manager
Assist in co-ordinating marketing material supplied by Sri Lanka:
- Understand what marketing material is available for hubs and customers and Assist in ordering and supply to hubs
Logistics support:
- Logistics and shipping support and coordination
