Team Coordinator

About the Role

Looking for a detail-driven, tech-savvy professional who can keep the sales engine humming and serve as the organizational backbone for the team. If you love juggling CRM dashboards, digging into prospect research, and making sure meetings start on time with all the right notes in the right places this hybrid role will put your super-powers to work.

Key Responsibilities

  • Qualify inbound/outbound leads and log all call activity in HubSpot.
  • Maintain dashboards and KPI reports to provide leadership with instant pipeline visibility.
  • Proactively revive stalled deals by scheduling next-step calls, sending recap decks, and keeping momentum going.
  • Draft, route, and track proposals, quotes, agreements, and internal submission forms.
  • Organize and manage documentation: presentations, surveys, and client files in SharePoint; flag deals with missing tasks, notes, or next steps.
  • Manage calendar bookings to prevent double-booking, build in travel/transition time, and confirm appointments.
  • Triage and prioritize emails; draft responses and follow-ups with internal/external stakeholders.
  • Capture meeting notes from Fireflies and transfer them to tickets, tasks, etc.; assign action items, and monitor completion across Teams, PSA, or project boards.
  • Prepare background research, slide decks, and documentation for strategic planning sessions.
  • Send post-meeting summaries and stay aware of critical due dates and deliverables.

Requirements

  • Pipeline dashboards are always up to date and deals rarely stall without immediate follow-through.
  • Team calendars run like clockwork, with every meeting prepped and every action item closed.
  • Sales, service, and leadership teams trust you as their go-to resource for organized, accurate data.
  • 2+ years in sales operations, revenue operations, or executive support—ideally within an MSP or SaaS environment.
  • Hands-on experience with HubSpot or Salesforce, plus solid skills in Microsoft 365, SharePoint, and Teams.
  • Proven track record creating quotes/proposals and coordinating multi-step deal workflows.
  • Excellent written communication—able to draft crisp emails, recaps, and client-ready documents.
  • Eagle-eye attention to detail and a “nothing slips through the cracks” mindset.
  • Fluent in English.
  • Familiarity with PSA tools (ConnectWise, Autotask, etc.) or ticketing systems.
  • Prior exposure to Leadership Teams.
  • Data analytics chops (basic Excel/Sheets formulas, dashboard building, KPI tracking).
