Onboarding & Operations Executive

ABOUT THE ROLE

RetailGPT is a revolutionary GenAI-powered platform transforming the retail landscape in Sri Lanka. As we scale operations across Colombo, we are looking for a versatile, detail-oriented individual to join us in a dual-function role — managing the end-to-end retailer onboarding process while also supporting ground-level retailer acquisition until our FOS team is fully in place.

KEY RESPONSIBILITIES

Operations & Onboarding (Primary)

  • Receive and verify retailer KYC submissions, following up on incomplete or missing documents.
  • Manage and track each retailer's onboarding journey from KYC collection through to go-live.
  • Upload and configure product catalogues on behalf of retailers on the RetailGPT platform.
  • Verify that Payment Gateway (PG) and Delivery are active and correctly set up for each retailer.
  • Confirm full account setup and ensure the retailer is successfully live on the RetailGPT app.
  • Maintain accurate and up-to-date records of onboarding status across all assigned retailers.
  • Liaise with internal teams to resolve onboarding blockers and escalate issues where necessary.
  • Submit regular progress and pipeline reports to the assigned Manager.

FOS (Feet-On-Street) Support (Temporary)

  • Conduct field visits to identify, approach, and pitch RetailGPT to prospective retailers.
  • Collect KYC documents on the ground and hand off to the onboarding pipeline.
  • Build initial retailer relationships and maintain engagement until a dedicated FOS team is in place.

REQUIRED SKILLS & QUALIFICATIONS

  • Diploma or Bachelor’s degree in Business, Operations, Marketing, or a related field.
  • 1—2 years of experience in operations, onboarding, or a customer-facing coordination role.
  • Fresh graduates with a strong drive and willingness to learn are encouraged to apply.
  • Strong attention to detail with the ability to manage multiple retailer accounts simultaneously.
  • Comfortable working with digital platforms, back-end tools, and data entry systems.
  • Good communication and follow-up skills; able to liaise with retailers and internal teams effectively.
  • Self-driven and organised; able to manage workload independently with minimal supervision.
  • Willingness to conduct field visits when required.

PREFERRED QUALIFICATIONS

  • Prior experience in e-commerce, retail operations, or a SaaS onboarding environment.
  • Familiarity with product catalogue management or inventory systems.
  • Experience in a field sales or FOS role is an added advantage.
  • Fluency in English, Sinhala, and Tamil is a strong added advantage.

REPORTING & STRUCTURE

The Onboarding & Operations Executive reports directly to their assigned Manager. Performance is tracked across onboarding completion rates, time-to-live metrics, catalogue activation, and FOS targets during the interim period.
