PROCUREMENT & ADMIN OFFICER
Women in Need (WIN) is a leading non-governmental organization in Sri Lanka with its Head Office based in Colombo and Regional Offices in several districts across the island. WIN is dedicated to addressing issues of sexual and gender-based violence (SGBV) faced particularly by women and girls in Sri Lanka. We are seeking a dedicated and experienced Procurement & Admin Officer to join our team and contribute to our mission of building a safe and equal society.
Key Functions & Responsibilities
Procurement Functions & Responsibilities
- Implement procurement activities in line with organizational policies, donor requirements and approved procedures.
- Obtain quotations, manage tender processes, evaluate bids and prepare procurement documentation.
- Ensure transparent, ethical and cost- effective selection of suppliers and service providers.
- Maintain supplier databases and procurement records.
- Coordinate with programme teams to identify procurement needs and ensure timely delivery of goods and services.
- Prepare procurement reports and support audits and compliance requirements.
Admin Functions & Responsibilities
- Manage office supplies, equipment and operational resources ensuring timely replenishment.
- Maintain inventory and asset registers and conduct periodic stock and asset checks.
- Maintain administrative records, contracts, databases and filing systems.
- Coordinate logistics for meetings, training programmes, travel and events.
- Ensure office facilities and equipment are properly maintained.
- Liaise with service providers and support administrative and compliance across Regional centres.
- Perform other duties as assigned by the Executive Director or designated supervisor.

Education & Experience
- Specialized training in Procurement or a University Degree (or equivalent) in Procurement / Business Administration or Supply Chain management.
- Minimum of two (2) years’ experience in a procurement and/or administrative role preferably within a non-government organization, development programme or donor funded project.
- Demonstrated experience in inventory management, record keeping and procurement processes.
- Proficiency in the use of computer applications and office software packages (MS Word, Excel etc).
Age Requirement: Below 55 years
Language Requirements
- Fluency in written and spoken English and Sinhala is required.
- Knowledge of Tamil would be an added advantage.
