MANAGER ADMINISTRATION

JOB PURPOSE

To ensure the health, safety and overall functioning of the facilities are maintained at optimum level while prioritising day to day well-being of all employees at IPD Colombo by regular follow up on preventive maintenance tasks, quick action and supervision on reactive maintenance and other related administrative tasks.

KEY RESPONSIBILITIES

  • Overseeing, coordination and carrying out of all administration functions at IPD Colombo to ensure the facility is maintained complaint free
  • Attending to all running maintenance activities and preventive maintenance activities of IPD Colombo facility
  • Responsible for the security services, janitorial services, generator operating and timely refueling, pest control, sanitary and other facilities related to employee well-being
  • Responsible of Employee Health and Safety, Fire and Rescue and first aid plus maintaining of a fire and rescue team
  • Managing the monthly consumption and ensuring availability of confectionery items, toiletries, stationary and other
  • Assisting in organising and coordination of the B'day lunches and other Welfare activities to maximise staff engagement
  • Attending to Visitors and liaising with third parties including landlord, electricity, municipal etc
  • Implementing and championing of SOP's related to safety, security and all other preventive and running maintenance activities
  • Any other adhoc matters that may arise in relation to facility or employee well-being

QUALIFICATIONS SKILLS & EXPERIENCE

  • Full or part qualification in H & S and facilities management or equivalent administrative qualification
  • Suitable qualifications in maintenance or technical related area will be an added advantage
  • Fluency in English
  • Computer and email literacy
  • Outgoing personality who can build a good rapport with service providers and third parties
  • Good skills in problem solving
  • Living in close proximity to the facility will be advantageous
  • 5 to 7 years qualifying experience in similar capacity in a large commercial enterprise
