Finance and Administration Manager

Himal Southasian is looking for the immediate hire of an organised and reliable Finance and Administration Manager based in Colombo, Sri Lanka, to oversee the day-to-day financial, administrative and HR functions of the company. This is a critical operational role for someone who thrives on maintaining regulatory compliance, managing financial and organisational systems, and ensuring seamless internal operations. The Finance and Administration Manager will be part of the company’s management team and will report to the Managing Editor and Editor of Himal Southasian on all matters.

What You’ll Do

Financial Management and Operations

  • Prepare and approve payment vouchers and processing instructions, upload monthly payroll files to the online banking platform and manage bank transactions
  • Prepare and maintain operational budgets and financial tracking
  • Work with the Managing Editor and Editor on long-term financial planning, including budget forecasts and financial projections
  • Prepare regular financial reports for the company’s management and present biannual financial reports to the Board of Directors
  • Manage timely payment of all applicable taxes as well as staff pension benefits (EPF and ETF), ensuring full statutory compliance with relevant laws
  • Liaise with banks, tax authorities, the Labour Department and any other regulatory bodies as needed

Administration and Donor Relations

  • Liaise with philanthropic donors and international partners on financial tracking and reporting in coordination with the Managing Editor and Editor

HR and Corporate Governance

  • Track leave records and maintain confidential HR files according to company policy
  • Work with the Company Secretaries to schedule Board meetings and AGMs, prepare board papers related to finance and administration, facilitate Board resolutions and file Annual Returns with the Registrar of Companies.

What We’re Looking For

  • A bachelor’s degree in a relevant discipline and/or full/part professional qualification in accounting
  • Proven experience in financial management, accounting and general operations, preferably within a non-profit environment (experience working in a Colombo-limited company is an added advantage)
  • Prior experience with auditing
  • At least 6 years of relevant professional experience
  • Solid understanding of Sri Lankan statutory compliance, tax laws, labour regulations and EPF/ETF requirements
  • Strong organisational skills, with high attention to detail and ability to handle confidential HR and financial records
  • Hands-on experience in QuickBooks and other relevant tech tools/platforms
  • Ability to work remotely and use the digital tools necessary for continuing operations in a remote work environment
  • Excellent written and verbal communication skills in English for liaising with the company’s multicultural team, as well as with international partners, donors and auditors
  • Ability to work self-directed and manage multiple regulatory and internal deadlines

This is a full-time position based in Colombo, Sri Lanka, with an initial two-year contract. Himal’s staff operate remotely from their respective bases across the Southasia region, with regular online communications following Southasian working hours. Most of the work for this role may be performed remotely, but regular visits to the company’s small office in Colombo 8, banks and other institutions will be required. Remuneration will be commensurate with the candidate’s skills, relevant work experience and proven performance.
