About the Role
We are seeking a detail-oriented and proactive Shipping Documentation Executive to join our dynamic team. The successful candidate will play a critical role in ensuring smooth export documentation processes, compliance with international requirements, and timely customer service delivery.
Key Responsibilities
- Close coordination with customers.
- BL Draft Preparation: Prepare and send Bill of Lading drafts to shippers.
- Amendment Handling / Special Requirements Coordination: Attend to BL draft amendment requests promptly and verify/coordinate requirements with destination offices.
- Export Manifest Submission: Ensure timely submission of export manifests.
- VGM Discrepancy Resolution: Check and rectify Verified Gross Mass discrepancies before vessel sailing.
- Paper Issue / Export Invoicing: Manage issuance of shipping documents in the principal's system, and customer invoicing.
- Voyage Checklist / Self Audits: Maintain voyage checklists for operational accuracy and conduct internal audits to maintain accuracy and compliance.
- Final BL Confirmation & Release: Obtain final BL confirmation from customers before booking close & Release BL upon approval.
Qualifications & Skills
- Minimum 2-3 years’ experience in shipping documentation role or similar at a shipping / freight-forwarding company.
- Added Benefit - Diploma or Degree in Logistics, Supply Chain or related Field.
Skills & Competencies
- Strong knowledge of shipping import/export procedures, international shipping regulations and documentation standards.
- Strong attention to detail and ability to work under pressure with strict deadlines.
- High proficiency in MS Office applications.
- Excellent command in English along with good communication and coordination skills.
