RESPONSIBILITIES

  • Event Planning: Coordinate and plan all aspects of the event, including but not limited to venue selection, vendor management, scheduling, and logistics.
  • Participant Management: Coordinate all aspects of participant registration, communication, and support, ensuring a smooth and efficient experience throughout.
  • Budget Management: Develop and manage the event budget, ensuring that all expenses stay within budgetary constraints.
  • Vendor Management: Research, negotiate with, and secure vendors for catering, entertainment, equipment rentals, and other event-related services.
  • Logistics Coordination: Coordinate transportation, accommodations, and other logistical needs for event attendees, speakers, and staff.
  • On-Site Management: Oversee all on-site activities during the event, including set-up, registration, guest assistance, and troubleshooting any issues that may arise.
  • Post-Event Evaluation: Conduct a thorough evaluation of the event, including gathering feedback from attendees and stakeholders, to identify areas for improvement for future events.
  • Compliance: Ensure compliance with all relevant regulations and requirements related to the event, such as health and safety guidelines and permits.

EVENT COORDINATOR

Temporary/Full time- 4 months

We are seeking an experienced Event Coordinator to oversee and manage all aspects of an upcoming project on behalf of our organization. The ideal candidate will have a proven track record of successfully planning and executing events, excellent organizational skills, attention to detail, and the ability to work within budgetary constraints. This position is outsourced and will work closely with our team to ensure the event's success.

QUALIFICATIONS

  • Experience: Proven experience in event planning and coordination, with a minimum of 1 year of experience in a similar role.
  • Organizational Skills: Strong organizational and multitasking abilities, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate with vendors, team members, and stakeholders.
  • Attention to Detail: Meticulous attention to detail and the ability to ensure that all aspects of the event are executed flawlessly.
  • Problem-Solving Skills: Strong problem-solving skills and the ability to think quickly and creatively to address any issues that may arise during the planning and execution of the event.
  • Team Player: Ability to work effectively as part of a team, collaborating with colleagues and stakeholders to achieve common goals.
  • Flexibility to work evenings, weekends, and travel as needed to oversee the event and handle any last-minute changes or emergencies.
  • Certifications: Certification in Event Planning or a related field is a plus.
