Dara Switchboards (Pvt) Ltd is part of the global offshore operation of ABBA Renewables and ABBA Engineering in Australia. Our team in Sri Lanka works together with the Australian counterparts in delivering exceptional electrical solutions to the international market through the main operation and manufacturing facilities in Melbourne and Kalgoorlie. The team in Sri Lanka operates at the convenience from their home without the daily commute to work and is a privilege that all our team members enjoy. You will get good opportunities to grow your current skills to the next level with exposure to the Australian workplace. This is a virtual, working from home full-time role. Working time will be 6:30am to 4:00pm Monday to Friday. You will be working in line with Western Australian calendar and only the public holidays applicable in Western Australia will be applicable for you. The ideal candidate must be fluent in English as you will be conversing with counterparts in the Australian operation in your work.
Designation: Administration Assistant (Virtual Assistant)
Expected start date: 2nd June 2025 or before
Key responsibilities include:
- Efficient and accurate data entry for the business, ensuring proper documentation and record-keeping.
- Assist with reporting requirements as required.
- Assist with the coordination of site access requests and employee inductions, ensuring compliance with safety regulations.
- Assist with coordinating employees and providers for NPC checks, medical appointments, and DAS bookings.
- Arrange travel for staff members, including booking flights and accommodation.
- Handle various administrative duties and ad hoc requests from the Administration Manager or other admin team members.
- Develop and manage Standard Operating Procedures and create training tutorials via Safety Culture, aligned with the Administration team.
- Manage employee profiles and onboarding inductions via Safety Culture.
- Assist with process creation and development.
- Manage the diary for the Administration & Office Manager.
- Liaise effectively with tenants, property managers, and cleaners of employee units, including booking management.
General VA requirements
- Comply with Client’s Values and Code of Conduct, Policies and Procedures.
- Comply with all reasonable and lawful instructions by supervisor or other authorised person of the Client.
- Perform the Services with due care, skill, and diligence, in accordance with the instructions provided by the Contractor and the Client.
- Maintain the confidentiality of the Client’s information and not disclose any confidential information without prior written consent.
Technical and soft skills
- Sound knowledge of Microsoft program including Word, Excel, Outlook, PPT, One Note.
- Excellent communication and interpersonal skills, with the ability to effectively collaborate with internal and external stakeholders.
- Strong analytical and problem-solving abilities, with a keen attention to detail.
- Advanced proficiency in Microsoft programs and other relevant software applications.
- Ability to prioritise tasks and manage multiple deadlines in a fast-paced environment.
Learning and Development
- Identify relevant training and study opportunities to increase skills and contribute to improved organisational outcomes.
Qualifications/Competencies
Diploma or degree in Administration or similar
English language competencies
- Excellent English writing and fluent in speaking English.
- Communication skills in English are essential. This competency is a MUST.
Experience
- Minimum 2 years’ experience in a similar position.
- Prior experience handling data input with high accuracy and attention to detail.
- Proven ability to arrange flights, accommodation, and transport.
- Experience creating SOPs and training guides to enhance operational efficiency.
- Managing schedules for senior staff, ensuring smooth workflow.
- Experience in handling property-related tasks such as liaising with tenants and service providers.
