Admin Assistant

Role Description

The Admin Assistant will support daily operations by managing administrative tasks, overseeing social media content, processing sales orders, and maintaining inventory records. The ideal candidate is organized, proactive, and able to handle multiple responsibilities in a fast-paced environment, with strong attention to detail and communication skills to ensure smooth sales and marketing operations.

KEY DUTIES AND RESPONSIBILITIES:

Social Media and Content Management:

  • Create, curate, and schedule engaging posts for various social media platforms.
  • Develop content strategies that align with marketing objectives.
  • Analyze social media trends to optimize posts for maximum engagement.
  • Write blog content that reflects the brand’s voice and caters to wholesale partners and fashion retailers.

Lookbook and Seasonal Collection Management:

  • Design and maintain an updated lookbook for seasonal collections.
  • Curate high-quality images and descriptions that reflect current fashion trends and the brand's aesthetic.
  • Update the lookbook as new collections are added.

Data Management and Sales Tracking:

  • Regularly update internal spreadsheets tracking inventory, orders, and sales data.
  • Maintain accuracy in data entry and generate reports to assist with data-driven decisions for sales and stock management.

E-commerce Platform Management:

  • Oversee product listings, pricing, and inventory on platforms like Showroom Prive.
  • Monitor stock levels, update spreadsheets, and adjust pricing/promotions based on sales trends.
  • Manage third-party wholesale platforms by processing orders and maintaining accurate inventory.

Logistics and Shipment Coordination:

  • Prepare packing lists and quality control reports for orders.
  • Organize and book shipments with courier services such as DHL and DPD.
  • Communicate with couriers and resolve any delivery issues.

Sales Order Processing:

  • Process and manage sales orders from supervisors and various customers.
  • Ensure accuracy of customer information and order details.

Inventory Monitoring:

  • Regularly check and update marketplace platforms with orders and stock levels.
  • Prevent overselling by ensuring inventory is updated across all third-party websites.

Other Responsibilities:

  • Take on additional tasks as requested by supervisors or management.

Requirements:

  • Bachelor’s degree in Business Administration or related field is preferred.
  • At least 2 years’ experience as an Administrative Assistant or similar role.
  • Proficiency in MS Office and project management tools.
  • Excellent communication and organizational skills.
  • Ability to prioritize and multitask in a remote work environment.
  • High attention to detail and problem-solving abilities.
  • Prior experience in content creation, e-commerce, social media management, and e-commerce.
  • Familiarity with platforms like Showroom Prive and other third-party wholesale platforms.
  • Ability to manage data, analyze trends, and generate sales reports.

Ability to work in a UK time-based environment (1pm-10pm [SL Time])
