Job Responsibilities

  • Front Desk Operations: Greet visitors and direct them to the appropriate person or department

  • Answer and manage incoming calls, taking messages or forwarding calls as needed

  • Maintain a neat and organized front desk area

Customer Service: Provide excellent customer service to visitors, clients, and employees

Assist with inquiries and provide information about the organization's products or services

Administrative Support: Perform general clerical duties, including photocopying, faxing, mailing, and filing

Manage appointments, conference room bookings, and schedules

Communication: Relay important messages to the relevant personnel promptly

Handle emails and correspondence, both incoming and outgoing

Security: Monitor and control access to the premises, ensuring the security and safety of the facility

Record-Keeping: Maintain accurate and up-to-date records of visitors, calls, and appointments

Administrative Support: Manage and organize office activities and operations

Schedule and coordinate meetings, attend meetings, take minutes, and distribute them to relevant parties, appointments, and travel arrangements

Handle incoming calls, emails, and correspondence, prepare and distribute memos, letters, and other documents

Document Management: Create and maintain filing systems, both physical and electronic

Organize and manage documents, reports, and records

Retrieve and distribute information as needed

Serve as a point of contact between executives, employees, clients, and other stakeholders

Draft, proofread, and edit documents and communications

Qualifications

Diploma or higher qualification with minimum 3 years of relevant secretarial/administrative experience

Good command of spoken and written English

Excellent computer literacy and Microsoft Office skills

Fast learner, well-organized with a strong sense of responsibility and a positive attitude

Professional phone etiquette

Efficiently handle tasks and meet deadlines

Professional appearance and demeanor
